SoftExpert Physical Archive is a system designed for the complete management of the physical document lifecycle.

It allows you to control stages such as filing, movement, inquiry, loan, disposal, and transfer to an external archive, ensuring organization, traceability, and security in the management of the organization’s physical document collection.

The component was developed to provide strict control over physical operations, reducing errors, standardizing procedures, and ensuring compliance with document management policies.

 

What are its features?

When accessing the system, the component is divided into the following menus:

Configuration

Menu used to register all essential parameters for the operation of the Physical Archive. Items such as retention schedule, media types, request reasons, general parameters, and other rules that guide the archiving workflow are defined here. Without these configurations, it is not possible to start the physical archiving process.

Registration

Menu where the structural elements of the Physical Archive are registered, such as:

  • External archive
  • Storage location
  • Repository
  • Media

These records define where documents and media will be physically stored and serve as the basis for the operations carried out under the Execution and Management menus.

Execution

Menu where operational Physical Archive activities are performed, including:

  • Issuance and receipt of transfer guides
  • Current, intermediate, final filing, and media recording
  • Requests, approvals, and services
  • Document removal and retrieval records

This is the environment used daily by those responsible for moving and filing documents.

Inquiry Menu that provides a complete view of the movements and records of the Physical Archive. It allows you to query guides, filings, requests, media, repositories, and other essential data for audits and traceability.
Management

Menu intended for managing the cancellation of filing.
