Configuring a scheduling
Prerequisites
- Access to the SoftExpert Asset > Configuration > Computer > Scheduling (AS071) menu.
- Access to the SoftExpert SPC > Configuration > Scheduling (SP028) menu.
- Access to the SoftExpert Configuration > Tool > Import > Scheduling (CM017) menu.
- Access to the SoftExpert Performance > Configuration > Scheduling (ST041) menu.
- Access to the SoftExpert Inspection > Configuration > Receiving ranking > Scheduling (IP034) menu.
- Access to the SoftExpert Action plan > Configuration > Scheduling (PL027) menu.
- Access to the SoftExpert Project > Configuration > Scheduling (PR048) menu.
- Access to the SoftExpert Workflow > Configuration > Scheduling (WF006) menu.
Introduction
Scheduling records are created through the specific menus of each component. When a scheduling is configured, certain configurations remain the same, regardless of the menu in which the record is being created.

Frequency and recurrence configurations
General
Frequency: select how often the scheduling will be executed.
- No recurrence: the scheduling will be executed only once, that is, it will not repeat.

Hour(s)/Minute(s): the scheduling will be executed at intervals of hours or minutes. Enter the desired interval in the every _ hh:mm field. For example: every 01:15, every 00:30, every 03:00, etc.
It is not possible to select a period shorter than 15 minutes for the scheduling.
- Daily: the scheduling will be executed at intervals of days. Enter the desired interval in the every _ day(s), field. For example: every 2 days, every 5 days, etc.
- Weekly: the scheduling will be executed on specific days of the week. In the Week days field, check the days on which the scheduling must be executed. For example: every Monday, Wednesday, and Friday.
- Monthly: the scheduling will be executed in certain months of the year. In the Months field, check the desired months in which the scheduling must be executed. For example: March, June, September, and November.
End of recurrence: select how the scheduling execution will end.
- No end date: the scheduling execution recurrence will have no defined end.
- Ends after: the scheduling execution ends after a certain number of occurrences. In the Occurrences field, enter the limit number of occurrences for the scheduling execution.
- Ends on: the scheduling execution ends on a certain date. In the Date field, select the day, month, and year when the scheduling execution will end.
If the Delete after finishing scheduling option is not checked, the scheduling record will not be deleted after its execution ends and will be shown on the list of records.
The Notified user tab will be available in the scheduling records configured in the following menus:
- SoftExpert Configuration > Tool > Import > Scheduling (CM017).
- SoftExpert Performance > Configuration > Scheduling (ST041).
- SoftExpert Workflow > Configuration > Scheduling (WF006).

Specific configurations per component
Depending on the component in which a scheduling is being configured, different tabs are enabled for completion.
See the specific configuration details in each one of the components:
SoftExpert Asset
When an asset import scheduling is configured in the Configuration > Computer > Scheduling (AS071) menu, it is necessary to define an import profile and the location where the file to be used in the import will be stored.
To do so, access the Import profile tab and fill in the fields below:
Import profile | Select the import profile that will be used for the scheduling. |
Path | Insert the SoftExpert Suite server directory that contains the files to be used for the import. |
Server URL | Enter the URL of the OCS Inventory NG server. Click on the button next to this field to test the connection to the specified server. |
Login | Enter the login for access to the OCS Inventory NG server. |
Password | Enter the password for access to OCS Inventory NG. |
Filter | Fill in this field to filter the computers that will be imported. In this case, enter the desired filter. If you wish to enter more than one filter, separate them by a semicolon ';'. Leave the field empty to import all computers. |

• Fore more details about creating import profiles, refer to the SoftExpert Asset documentation.
• For a path to be inserted, data integration file storage with Amazon S3 must be enabled in the Configuration > System (CM006) menu of SoftExpert Configuration.
• The Server URL, Login, Password, and Filter fields will only be available if the import profile provider is OCS Inventory NG, as connection to the server is required.
• The scheduling cannot be saved if the Import profile tab is not configured.
SoftExpert SPC
When configuring a CMM file import scheduling in the SoftExpert SPC > Configuration > Scheduling (SP028) menu, it is necessary to define the directory containing the files that will be used for the import.
To do so, access the Import directory tab and fill in the available fields:
Data integration file storage | Insert the Amazon server directory that contains the files to be used for the import. |
Directory that will be monitored during executions | Insert the SoftExpert Suite server directory that contains the files to be used for the import. |
Directory to store imported files | Insert the SoftExpert Suite server directory that will store the files that have already been imported. |

• This tab will only be available to organizations that use their own server, in which imported CMM files are stored. If an organization does not have its own server, the files will be saved in the Scheduling tracking (SP030) menu.
• The configuration of this tab varies according to the storage configuration set for the files.
• The Data integration file storage field will only be available if storage through the Amazon S3 server is duly configured in the Configuration > System (CM006) menu of SoftExpert Configuration.
SoftExpert Configuration
When configuring a data import scheduling in the Tool > Import > Scheduling (CM017) menu, it is necessary to define the import type.
To do so, access the Import type tab and configure the following fields:
Component | Select the component to which the import will be performed and its respective license. |
Import template | Select the template that will be used in the import. |
Remove successfully executed imports | Check this option so that, if the import is completed successfully, its corresponding records are not shown in the Import > Tracking (CM015), Import > Scheduling (CM017), and Monitoring > Scheduling (CM019) menus. If this option is not selected, the records will remain visible, even after a successful import. |

• Refer to the Integration guide document to see a detailed description of each import template, its configurations, and the operation performed through it.
• The file to be imported must be located in the SE_SUITE_HOME > Web > Import directory. Customers using SoftExpert Hosting must check the Configuring Amazon Console Home section.
• The Remove successfully executed imports option will only be available if the scheduling refers to a "Simple import".
• The scheduling cannot be saved if the Import type tab is not configured.
SoftExpert Performance
When scheduling the execution of calculations for all scorecards or for only specific scorecards in the Configuration > Scheduling (ST041) menu, it is necessary to define the type of the job that will be executed by the scheduling.
To do so, access the Performance tab and configure the following fields:

Calculate the previous year during __ days | Fill in this field to define the period from the previous year that will be considered in the calculation performed in the scheduling. To do so, enter the desired number of days. |

• This tab will only be available after the scheduling is saved for the first time.
SoftExpert Action plan
When scheduling the creation of recurring action plans or isolated actions in the Configuration > Scheduling (PL027) menu, it is necessary to associate the templates from which they will be created.
To do so, access the Template tab and set the necessary configurations:
- Click on the
side toolbar button to search for and associate the action plan template or isolated action template.

• The job will create an action plan or isolated action for each template found in this tab every time the scheduling is executed.
• This tab will only be available after the scheduling is saved for the first time.
SoftExpert Workflow
When scheduling the automatic start of workflows in the Configuration > Scheduling (WF006) menu, it is necessary to define the processes that will be started and who will be their starters.
To do so, access the Start tab and make the necessary adjustments:
1. In the Process section of the Start tab, click on the button.
2. On the window that will open, select the process that will be started through the scheduling.
3. In the Starter field, define the user who will be the starter of the process that will be started by the scheduling.
4. Click on the button.

• This tab will only be available after the scheduling is saved for the first time.
• The selected process must be duly configured to be started and cannot contain any errors in its design. Only processes configured with automation for SoftExpert Workflow will be available for selection.
• The selected user must have permission to start the instance granted in the security record of the process.
• Associate as many processes as needed with the scheduling.
Conclusion
The scheduling will be configured and will repeat, following the configured recurrence.
