Copying and moving records

 

Prerequisites

  • Access to the Drive (DR001) menu.
  • Logged user with editor permission.

 

Introduction

The Copy and Move features in SoftExpert Drive allow users to organize and optimize their records efficiently.

Through the Copy option, they can create a copy from a record in Drive, which facilitates the editing and sharing process, keeping the original intact.

The Move option, in its turn, allows for transferring a record to a different folder, thus reorganizing files as needed and providing a more efficient management.

 

Copying a record

1. From the Drive (DR001) menu, access the My drive vision.

2. Hover the mouse over the file and expand the button that will be enabled.

3. Click on Copy.

4. Select the folder to which the record must be copied.

5. Click on Confirm.

  • Records can be moved only if the user has editor permission or owns them.
  • Only folders on which the user has editor permission or of which they are the owner can be selected as destination.
  • If the record is moved to a shared folder, it will inherit the sharing assigned to that folder, in addition to any existing sharing configurations. No existing sharing in the record will be lost.
 

 

Moving a record

1. From the Drive (DR001) menu, access the My drive vision.

2. Hover the mouse over the file and expand the button that will be enabled.

3. Click on Move.

4. Select the folder to which the record must be moved.

5. Click on Confirm.

  • Records can be copied only if the user has editor permission or owns them.
  • Only folders on which the user has editor permission or of which they are the owner can be selected as destination for the copy.
  • If the copied record is put inside a shared folder, it will inherit the sharing assigned to that folder, in addition to the existing sharing configurations. No existing sharing in the record will be lost.
 

 

Mass-copying or moving records

1. From the Drive (DR001) menu, access the My drive vision.

2. Select the checkbox of the desired files.

3. Expand the Mass actions option that will be enabled.

4. Click on Copy or Move, as you wish.

5. Select the folder to which the record must be copied or moved.

6. Click on Confirm.

 

Conclusion

While the Copy function allows for creating duplicates of records to facilitate editing and sharing, the Move function offers a practical solution for reorganizing files within the system.

Both options are fundamental to an efficient management of records in SoftExpert Drive, providing flexibility to the organization and to the work flow.
