Prerequisites

  • Access to the Plan menu (RI430) .
  • A risk and control plan has been previously created and approved.
  • Context of the risk and control plan previously configured with the option for revalidation.

Presentation

In SoftExpert Risk, it is possible to revalidate risk and control plans whenever necessary, regardless of whether their validity period has already expired.

This article will show you how to revalidate a risk and control plan.

Revalidate risk and control plan

1. Access the Plan menu (RI430) .

2. Search for the plan you wish to renew and click on it.

3. Click on the Revalidation tab and then on Create .

4. The screen with the revalidation data will be displayed.

Revalidation data

In the current Revalidation section , the system provides the following information: the current registration revalidation number , the date on which the current registration revalidation was performed, and the date until which the current revalidation will be valid.

In the Revalidation reference section , the following fields are available, relating to the revalidation being performed:

  • Number : filled in by the system with a sequential number to identify the revalidation.
  • Date : pre-filled by the system with the current date. If the "Allow changing the revalidation date" option is not checked in the validity settings associated with the context , it will not be possible to edit it. Otherwise, it will be possible to edit the date, thus allowing for retroactive revalidation.
  • Validity : pre-filled by the system with the default time defined in the validity settings associated with the type of record being revalidated. If the default time is set to Fixed , this field cannot be edited. If it is set to Variable , it is possible to define the desired validity time.
  • Expiration Date : This field is filled in by the system with the date until which the record being revalidated will be considered valid, according to the previously informed validity period. If the validity period associated with the record type is set to Fixed , this field cannot be edited. If it is Variable , it is possible to define the desired expiration date. Note that when entering an expiration date in this field, the period in the Validity field will be adjusted by the system.
  • Justification : Please provide a justification for the revalidation of the registration.

5. Fill in the Date and Justification fields .

6. Click the button , and then click OK .

Validity setting

If the validity setting does not have the approval step configured, it will be necessary to confirm the revalidation. If you click OK , the revalidation will be completed; but if you click Cancel , the revalidation will remain in the Issuance status .

If the validity period has an approval step configured, it will be necessary to send the revalidation for approval. If you click OK , the revalidation will be sent for approval, and the Revalidation Approval task will be generated for the responsible script members. If you click Cancel , the Approval tab will be enabled for completion.

In the Approval tab , you can view or define who is responsible for approval, according to the settings configured in the validity period. The information in this tab depends on the type of route configured. If it is a fixed, single route , this tab cannot be edited. The following fields will be displayed:

  • Responsible Routing : Select the routing responsible for approving the registration renewal. If the approval routing defined in the validity period is Fixed , it will only be possible to define another routing through this field, but it will not be possible to edit its members. Note that only responsible approval routings will be available for selection.
  • Approval type : pre-filled by the system with the approval type (Incremental or Circular) defined at the time of registration of the previously selected responsible routing, however it is possible to edit it.
  • Cycle : filled by the system with a sequential number, indicating the approval cycle the registration revalidation is going through. Each time the revalidation is rejected and goes through approval again, the system assigns it a number. Select previous cycles to view the responsible roadmap members who performed the approval.
  • Wait for all sequence members to be released : this option will be checked/unchecked by the system according to the settings made when registering the previously selected responsible route. If this option is checked, approval will only be released after all route members have completed their tasks.
  • If the approval route type is set to Variable in the validity settings, the buttons to add, edit, or delete will be enabled.

7. Immediately after the revalidation is completed, the members of the responsible roadmap will receive the task " Revalidation Approval ".

For more information about my tasks , please visit the SoftExpert Risk Tasks article .

Plans that are under review or undergoing revalidation cannot be revalidated.

It is also possible to revalidate the plan template and the opportunity . To do this, access the Plan Template (RI304) and Opportunity (RI420) menus, respectively, and follow the procedure described above.

For more details about the revalidation process , please see the article How does revalidation work?.

Conclusion

Revalidating the plan allows you to confirm its continued applicability and ensure that the risks and controls remain up-to-date according to the organization's current context.
