Creating a document-based training

 

Prerequisites

  • SoftExpert Document among the solutions acquired by your organization.
  • SoftExpert Training among the solutions acquired by your organization.
  • Document created from a category with training control.
  • Users with the "Training" control enabled in the security list of the document or category.
  • Access to the My Tasks > Execution > Training registration menu.
  • Access to the File > Course (TR004) menu.

 

Introduction

After creating a document from the category with configured training control, the user can associate a document with SoftExpert Training in two ways. 

In SoftExpert Document, the Training registration task will be generated in order for the user to register a training based on the document.

In SoftExpert Training, it will be possible to create a course associated with a document whose category is configured for training.

See below how to perform these operations:

 

Creating a course with document in SoftExpert Training 

1. Access the File > Course (TR004) menu.

2. Click on the toolbar button.

3. On the screen that will open, enter the general data of the course. If you wish, specify the objectives and provide a description.

4. In the Object tab, click on the Associate button. Then, select the desired documents. To do so, use the Type filter through the Select type button and filter the documents through their category.

5. After selecting the desired documents, click on the button.

Executing the "Training registration" task in SoftExpert Document

1. Access the My Tasks > Execution > Training registration menu.

2. Select a document for which you wish to register a training.

3. Once the document is selected, the users who have the Create training permission in its security will be shown in the quadrant below the list of records.

4. Select the users who will be the participants of the training and click on the side toolbar button.

5. Choose the desired option:

  • Add training planning: the system will display the data screen so that a training can be added in the planning step for the selected users.
  • Add training execution: the system will display the data screen so that a training can be added directly in the execution step for the selected users. 

7. After filling out the data screen, save the record.

  • Once the record is saved, the document will no longer be shown on the list of pending records.
  • The deadline for executing the task is parameterized during the configuration of the training in the document category. It is possible to set different deadlines for critical and noncritical trainings.
  • If the Revision requires training option is checked in the document category, whenever the document goes through revision, the Training registration task will be sent to the responsible parties.
  • If the Keep current revision training record task option is checked and the revision is configured to start after the approval, the system will keep the current-revision training and will create a new one referring to the new revision that will be approved. If this option is not checked, the system will only keep the training task related to the new revision that has been approved, deleting the task related to the current revision.
  • When a training is invalidated or cancelled, or the participant fails, the Training registration task will be generated again.
  • If the participant took the training more than once and failed, and none of the trainings were invalidated or cancelled, the last training taken will be the valid one.

Thus, the document can be used in SoftExpert Training. Now, it is possible to plan the training with an associated document.
