Creating resources

 

Prerequisites

  • Access to the File > Resource (MA052) menu.
  • Resource type previously created through the Administration > Configuration > Resource type (AD055) menu.

 

Introduction

Resources are essential elements for effective activity execution. They include employees (SoftExpert Suite users), assets, services, supplies, materials, among others. Proper management of these resources ensures that all tasks are carried out efficiently and within the established deadlines.

Examples of resources

  • Employees: technicians responsible for executing maintenance and calibration activities.
  • Assets: equipment and tools needed for carrying out the tasks.
  • Services: outsourced or in-house services that support maintenance activities.

Practical example

During the programming of an equipment verification, the necessary resources are associated with the activity. This includes assigning a qualified technician, reserving measuring equipment, and preparing the necessary materials. With this association, verification is carried out efficiently, ensuring the accuracy and reliability of the results.

  • Every user registered in SoftExpert Administration is automatically made available as a resource of the "Labor" type.
  • The assets created in SoftExpert Asset are made available as resources of the "Asset" type, as long as the "Use the asset as a resource" option is selected in the general parameters.
  • Each user or asset can be associated with only one resource.
 

 

Creating a resource

Check the creation instructions for the resource type you wish to record:

Creating a labor resource

1. Access the File > Resource (MA052) menu.

2. Click on the toolbar button.

3. On the screen that will open, select the user who will be registered as a resource.

4. In the Resource type field, select the type that will categorize the resource.

5. In the Calendar field, select the calendar that will be applied to the resource.

6. Keep the Generic option unchecked, indicating that the resource is not classified as generic.

7. Select one of the following options:

  • Internal: keep this option selected if the resource being added is from the organization itself.
  • Third-party: select this option if the resource is from a third-party organization. In this case, select the company that provides this resource.

8. In the Start and End fields, select the date range during which the resource will be available for allocation.

9. In the Professional ID number field, enter the resource's registration number in the body responsible for supervising professional activities in their field of work.

10. Click on the button to enable the other tabs.

11. In the Description tab, write important notes about the resource.

12. The Attribute tab will only be shown if at least one attribute has been associated with the resource type. In this case, enter the value of the displayed attributes.

13. The Position tab shows the positions related to the resource through the Administration > File > Organizational structure: Position (AD002) menu. Associate other positions if you wish. Use the button to make one of the positions the default for the resource.

14. In the Cost tab, add the costs that the resource has generated.

15. In the Billing tab, add the earnings obtained with the resource.

16. In the Timesheet permission tab, associate the responsible users who will be able to enter time in the activities to which the resource is allocated.

17. Click on the button to save the record.

 
 

Creating an asset as resource

1. Access the File > Resource (MA052) menu.

2. Click on the toolbar button.

3. On the screen that will open, select the asset that will be added as a resource.

4. In the Resource type field, select the type that will categorize the resource.

5. In the Calendar field, select the calendar that will be applied to the resource.

6. Keep the Generic option unchecked, indicating that the resource is not classified as generic.

7. Click on the button to enable the other tabs.

8. In the Description tab, write important notes about the resource.

4. In the Resource type field, select the type that categorizes the resource.

5. In the Calendar field, select the calendar that will be applied to the resource.

6. Keep the Generic option unchecked, indicating that the resource is not classified as generic.

7. Select one of the following options:

  • Internal: keep this option selected if the resource being added is from the organization itself.

Once saved, the record will be ready to be used in activity programming, making it possible to control resources through the Resources control (MA080) menu.
