SoftExpert Training tasks

Prerequisite

  • Access to the My tasks menu.

 

Introduction

Tasks are records generated for users to take certain actions. They are divided into two categories: Execution and Tracking.

Despite being under the responsibility of a specific user, tracking tasks do not need to be executed by them.

Execution tasks need to be carried out by the assigned user within a defined period.

Execution tasks

Training enrollment approval

Who receives it Users defined as members of the route responsible for approving training enrollments.
When Users enroll themselves or are enrolled in a training. It must be configured in the training that enrollments will go through approval in order for this task to be generated.
Purpose To approve the participation of users in a training.
 
 

Training planning approval

Who receives it Members of the route responsible for approving the planning of a training.
When The planning of a training is finished and sent for approval.
Purpose To approve or reject the planning of a training. Once the planning is approved, the record will move on to the next step.
 
 

Training request execution

Who receives it The party responsible for executing the request, who was defined when the request was issued in the Request component.
When The issue/approval step (as configured) is finished by the responsible parties in the Request component.

Participant effectiveness evaluation

Who receives it Appraiser of the participant's effectiveness, who was defined in the Evaluation section of the training data screen.
When The delay period of a training that has effectiveness evaluation parameterized is over.
Purpose To evaluate whether the training participants have improved their performance.
 
 

Training evaluation

Who receives it Members of the execution control team and instructors with permission to control training execution.
When
  • A training under execution and with parameterized evaluations is finished. If the evaluations are performed during the execution step, this task will not be carried out.
  • All the participants of a training with the "Require participants to access the training content before sending it to the next step" option enabled are done executing the Training content task.
  • The participants of a training with the "Automate the training flow when finishing the content execution" option enabled are done executing the Training content task.
Purpose To carry out the participants' pre-training, training, reaction, and post-training evaluations.
 
 

Execution confirmation

Who receives it Users defined as members of the team that controls the execution of a training. This task will be generated only if it is parameterized in the training configurations.
When The execution, evaluation, or effectiveness verification step is finished and there are no other subsequent steps configured.
Purpose To allow the responsible parties to confirm that the training has been performed.
 
 

Training enrollment acknowledgment

Who receives it Users participating in a training.
When
  • A participant is associated with a training that has "Restricted" enrollment, and the training status changes to "Start".
  • A participant enrolls in a training set as "Public", goes through the selection process (which does not have enrollment approval configured), and the training status changes to "Start".
  • A participant's enrollment in a training set as public goes through the configured approval.
Purpose To confirm users' enrollment in a training.
 
 

Training result acknowledgment

Who receives it All the participants of a finished training.
When The execution, evaluation, or effectiveness verification step is finished and there are no other subsequent steps configured.
Purpose To allow the participants to confirm the completion of the training and view their results.
 
 

Invalidated training acknowledgment

Who receives it All the participants of a training that has been invalidated.
When The training is considered ineffective and is invalidated during the effectiveness verification.
Purpose To inform an employee that the training in which they participated has been invalidated.
 
 

Training content

Who receives it All the participants of a training.
When The execution of a training is started. The "Make content available to the training participants" option must have been enabled in the E-learning section of the training.
Purpose To allow the training to be executed by the participants.
 
 

Training execution

Who receives it Members of the execution control team and instructors with permission to control training execution.
When
  • The planning of a training is approved or sent to the next step without need for approval. 
  • The training is added through the Execution > Training execution (TR009) menu, but it is not sent to the next step.
Purpose To record information referring to the execution of a training, evaluate the participants, and send the training to the next configured step.
 
 

Training planning

Who receives it Members of the training planning control team.
When The planning of a training is saved, but it is not sent to the next step.
Purpose To finish the planning of a training and send the training to the next step.
 
 

Training registration

Who receives it
  • Members of the responsible team defined in the general parameters of the training.
  • Members of the organizational unit's control team, who are also members of the responsible team defined in the general parameters of the training, if the "Restrict training record by organizational unit" option is checked.
When An employee's status as to a course (TNA X employee matrix) is in accordance with the statuses defined in the general parameters.
Purpose To carry out training for employees, referring to a course they need to take.

A document-based training record can be created in the SoftExpert Document component through the Training registration record.

 
 

Training effectiveness verification

Who receives it User defined as responsible for verifying the effectiveness of a training.
When The execution or evaluation step of a training with parameterized effectiveness verification is finished.
Purpose To check if the training has achieved its proposed goals.
 
 

Training due date

Who receives it Members of the execution control team for an expired training.
When The validity period of a training with this control configured ends.
Purpose To create/associate a new training for the participants of the expired training.
 
 

 

Tracking tasks

Training tracking

Who receives it Members of the execution control team and instructors with permission to control the execution of the record.
When The training is in the "Execution", "Evaluaiton", or "Effectiveness verification" step.
Purpose To allow the responsible parties to track the steps of a training.
 
 

Training due date tracking

Who receives it Participants of an expired training.
When The validity period of a training with this control configured ends.
Purpose To track the status of an expired training.
 
 

 

Conclusion

Tasks disappear from the task menu as they are executed or closed.
