SoftExpert Workflow general parameters

Introduction

The general parameters of SoftExpert Workflow gather configurations that have a direct impact on the behavior and standardization of processes in the system. They allow for defining rules to be applied to all created workflows, facilitating management and ensuring greater consistency for the execution of activities.

See below how to access and configure the general parameters in order to meet the needs of your organization:

 

Configuring the general parameters

1. Access the Configuration > General parameters (WF019) menu.

2. Configure the fields as needed:

  • Path to read XML files whenever performing system activity: this option defines the path (directory) in which the system will fetch files in XML format when executing an automated activity.
  • Copy values of the employee profile attributes to the instance: this option allows the values of the attributes defined in an employee profile to be automatically copied to the corresponding fields in a process instance.
  • Allow the executor to disassociate documents associated by a different user on the activity execution screen: this configuration defines whether the activity executor will be allowed to remove documents that have been attached by other users.
  • Disable timeout control on the activity execution screen (SoftExpert Workflow): when this option is enabled, the system disregards the timeout control configured for the activity during the execution. This means that the user will be able to carry out the activity without the system sending alerts referring to the execution deadline.
  • Display action plan status (APS) by:
  • Workflow: the status of an action plan will be shown together with the whole flow, considering the general progress of the process.
  • Activity: the status will be shown in detail, by activity, which allows for individually tracking the progress of each step linked to the action plan.
  • Cause association mode:
    • Select previously input causes: allows the user to select a cause that already exists in the system.
    • Fill out cause reasons: allows the user to add a cause freely, without the need for it to have been created beforehand.
  • Record in workflow history:
    • Summarized history: stores only the most relevant workflow execution events, which takes up less space in the database.
    • Full history (Consumes more space in the database): records all execution events, including details and interactions. This option provides full traceability, but takes up more space in the database.
    • Customized history. Choose which events you wish to record in the history: allows the user to choose which event types they wish to record in the history. This option balances information detailing and space usage, according to the organization's needs.

Each history type provides a specific set of events. When a type is chosen, the available options are displayed, as demonstrated below.
