Configuring a template

 

Prerequisites

  • Administration: access to the Configuration > Electronic file > Template (AD028) menu.
  • Performance: access to the Configuration > Template (ST026) menu.
  • Document: access to the Configuration > Document > Template (DC039) menu.
  • Form: access to the Configuration > Template (FO015) menu.
  • PDM: access to the Configuration > Item > Template (IT036) menu.
  • Process: access to the Configuration > Template (PM008) menu.
  • Survey: access to the Configuration > Template (SV026) menu.
  • A duly configured document from SoftExpert Document or an external file.

 

Introduction

External electronic files or documents created in SoftExpert Document can be specified as templates.

Administration

The Administration > Configuration > Electronic file > Template (AD028) menu is meant for creating all the templates that can be used in the SoftExpert components that support this resource and associated with complex file containers configured in the system.

Performance

The Performance > Configuration > Template (ST026) menu is meant for creating all the templates that will contain images to be used in the designing of scorecard strategy maps.
Document

The Document > Configuration > Document > Template (DC039) menu is meant for creating templates to be associated with document categories.

Electronic files or documents already created in the system can be specified as templates, which allows the latter to go through revisions as well.

This way, when documents with revision control are created in the system, their templates are copied and used as reference to draft them.

Templates can also be associated with the complex file containers of documents.

Form

The Form > Configuration > Template (FO015) menu is meant for adding images to be associated with forms.

PDM

The PDM > Configuration > Item > Template (IT036) menu is meant for creating templates to be associated with the component's item types and/or complex file containers.

Process

The Process > Configuration > Template (PM008) menu allows for configuring a template that will be used to standardize e-mails to be sent when message events are triggered during process execution. The template must have the content of the e-mail that will be sent out by the message event.

Survey

The Survey > Configuration > Template (SV026) menu allows for configuring a template that will be used to standardize the e-mails to be sent when message events are triggered once a survey is sent to its respondents. The template must have the content of the e-mail that will be send out to the respondents.

Configuring a template

1. Access the Configuration > Template menu.

2. Click on the button to add a new template.

3. On the screen that will open, enter an ID # and a name.

4. In the General tab, check the Controlled document option in order for the template to be a record from SoftExpert Document, or the External storage option in order for the template to be a file located externally to SoftExpert Suite.

  • SoftExpert Document must be part of the solutions acquired by your organization so that the controlled document option works correctly.
  • The controlled document option is not shown in SoftExpert Performance, as it is not compatible with strategy maps.
 

5. If the Controlled document option is selected, click on the button and associate a controlled document in the Document field.

6. If the External storage option is selected, click on the button and associate an external file in the File field.

  • Some file extensions may be blocked for upload, or only some extensions will be allowed for upload, depending on the configurations set in the System (CM006) menu of the Configuration component.
  • SoftExpert Performance: in order for a template to be correctly applied to a strategy map, the selected file must have the .png, .jpg, or .gif extension.
  • SoftExpert Survey: a file with .HTML or .HTM extension and with the content of the e-mail that will be send out must be selected. Click here and learn how to configure an HTML/HTM external file.
  • SoftExpert Document: in order for training certificates to be generated through SoftExpert Document, the template of the category that will be associated with the training must be configured. For this reason, it is necessary to select the external file that will be applied to the certificates of the training participants with the docvariables properly configured.
  • SoftExpert Process: a file with .HTML or .HTM extension and with the content of the e-mail that will be send out by the message event must be selected. Click here and learn how to configure an HTML/HTM external file. The file text may be fixed or variable. In order for it to be variable, tags must be configured in the HTML/HTM file, which will be replaced with process attributes.
 

7. After adding the external file or controlled document, click on the button to save the changes.

8. When the record is saved for the first time, the Component tab is enabled to show the components that use the template.
