Prerequisites

  • Permission profile registered.

Presentation

To register receiving inspections in SoftExpert Inspection, it is necessary to configure a form type. This parameterization facilitates hierarchical classification, allowing you to organize and standardize the inspections that will be registered in the system.

The inspection form type acts as the basis for creating and executing receiving inspections, ensuring the consistency of records and the classification structure defined by the organization for its supplier base and received items.

Adding an inspection form type

Watch the video below to learn how to set up an inspection form:

  • For more details on how to configure attributes, click here.
  • For more details about the identification mask, click here.
  • For more details about the Security type tab, click here.
  • For more details on team registration, click here.

Starting with version 2.2.1, the security of receiving inspection forms is managed by access profiles, ensuring greater performance and flexibility. Profiles can be created and customized in the Permission Profile menu (IP066), allowing you to define users, areas, and teams with specific permissions for adding, editing, and deleting forms.

Create an inspection record type using AI

1. Go to the Configuration > Receiving > Inspection Form Type (IP059) menu.

2. Click the arrow next to the Create button and select the option “With AI Agent.”

3. In the right-hand sidebar, describe in detail how you want the inspection form types to be created, specifying, for example, the nature of the item to classify inspections of materials or services. Then click the Send button.

4. Once the records have been generated, you can select one of the following options: Create Records, Edit Records, Suggest More Records. If necessary, you can also use the available options to generate new responses, evaluate responses, and export records to a spreadsheet.

5. Click Create Records to process the data. The generated types will be displayed in the list.

6. If you need to add or edit any information, double-click the record type or click the “3-dot icon to open data” located at the end of the row and select Open Data. The actions available via the 3-dot icon also allow you to change the status (enable or disable) or delete the record.

Additional information

  • The Reports button allows you to export the list displayed on the main screen to an Excel file, configure an export format for the reports, or view the history.
  • Records can also be created by importing data from a spreadsheet using the Create button.
  • At the top of the screen, you can use the Search field to locate records. You can also apply filters by status, ID, name, update date, and user responsible for the update.
  • In the left-hand sidebar, searches saved by the user are available for viewing and management.
  • Other options are also available to customize the toolbar and record actions, organize data by adding new columns, and create captions.
  • If you need to delete or change the status of multiple records, select them and click the arrow next to the Bulk Actions button to perform the desired operation.

The “With AI Agent” feature will only be available to customers who use the SoftExpert cloud platform and have SoftExpert Copilot.

For the feature to work properly, the AI Features permission must be enabled in the Access Group menu (CM011).

Conclusion

The type feature allows items to be organized in a standardized way, facilitating quality control and inspection management. After defining the form type and completing the other initial receiving inspection settings, it will be possible to proceed to the form registration stage.
