External user portal overview

 

Introduction

The External user portal is a system resource that allows for configuring links and portals for the processes of your organization that involve external activities.

This menu will only be displayed if the Allow external users access to the system option is checked in the External user access section on the Authentication (CM008) screen.

 

It allows for configuring the options that will be available to an external user when they access the external user portal.

 

See how this menu will be displayed:

A - It allows for adding categories to the external user portal. Within these categories, it is possible to add links for access to external content and configure portals.

B - It allows for adding content to the categories already created in the portal. The following objects can be added:

  • Portal: it allows for adding portals, in which the elements to be displayed in the external user portal can be configured. On the side screen that will be displayed, define a title and an icon for the portal. In the Display content in field, select the category to which the portal will be added. Once done, click on the Save button or on Configure portal.
  • Link: it allows for adding links for access to content that is external to the portal. To do so, on the side screen that is displayed, enter a title for the page, an icon, the access URL, and a description. In the Display content in option, select in which categories the link card will be displayed.

C - Use this option to change the order of the categories in the portal. After clicking on this option, drag and drop the categories to rearrange them.

D - When this button is clicked, the link to the portal will be copied to the clipboard. Share it so that the authorized users can access it.

E - It allows for parameterizing the configurations for access to the portal. When this button is clicked, the following options will be available:

General configurations: set the permission configurations for access to the system.

Self-registration configurations:

  • Allow self-registration for external users: access will be granted to an external user only after they confirm their registration by e-mail; said confirmation will be sent to the provided address. Therefore, it is paramount that the notification system is enabled and that a valid e-mail server is duly configured.
  • Require the approval of the self-registration of external users: with this option checked, in addition to confirming their registration by e-mail, the external user will have their access allowed after their registration is approved by an internal user, such as the system administrator or another user with permission to do so. If this option is unchecked, all submitted registrations will be automatically considered as approved by the system.
  • Default license key: select the license that will be automatically assigned to new external users who self-register, without impacting existing external users.

F - It allows for rearranging the category content. After clicking on this option, click on and drag the cards of the portals to rearrange them. Then, click on the Save sorting or cancel the changes made.

G - It allows for sharing the portal with external users or related companies.

H - Use this option to delete the category from the portal.

I - It allows for enabling or disabling the display of the portal to external users. This option may be useful for cases in which the portal is being edited, for example.

After performing all desired configurations, click on this option to save the changes and close the portal. At this point, the screen will reload, and the external user portal will have the same appearance as when it is accessed by an external user.

The external users registered through the SoftExpert Administration component can access the external user portal through the URL available in the Address for external users access: field of the Configuration > Authentication (CM008) menu.
