Cancelling copies
Prerequisites
- Access to the Management > Copy > Cancellation (DC013) menu.
- User with the Distribute copy control enabled in the security list of the document.
Introduction
SoftExpert Document allows for cancelling printed copies issued through controlled-copy protocols. This resource is essential for situations such as replacement of damaged copies, update of obsolete copies, or discard of copies that are no longer needed.
The Cancellation (DC013) menu is organized into three quadrants:
- The first quadrant displays the search filters, which make it easier to locate the desired documents.
- The second quadrant lists the documents created in the system, in accordance with the permissions of the logged user.
- In the third quadrant, it is possible to view the copy stations with which the document selected in the second quadrant is associated, in accordance with the history of revisions through which the document has gone.

Cancelling copies
1. Access the Management > Copy > Cancellation (DC013) menu.
2. Use the filters and click on SEARCH to locate the desired document.
3. In the second quadrant, select the document.
4. In the third quadrant, select the revision of the document whose copies will be cancelled.
5. Click on the toolbar button in the second quadrant to configure the cancellation information.
6. On the copy data screen, click on the button in the Cancelled tab.
7. Select the copies that must be cancelled.
8. In the Comments field, provide relevant information about the cancellation.
9. Click on the button.
10. In the Sending tab, use the button to view the data of the copy protocols issued for the document.
11. Click on the button to finish the copy cancellation.

If the revision is current and the number of copies being used is smaller than the quantity specified for the copy station on the document data screen, the system will automatically generate the "Printed copies sending" task for the party responsible for the distribution. This task aims to ensure the replacement of missing copies, which maintains the quantity defined for the station.
