Blocking the use of obsolete functions

From versions 2.2.0.388 and 2.2.1.145 onwards, new rules related to the use of depreciated formulas in the system have been implemented.

After December 31st, 2024, it will not be possible to start workflows if depreciated formulas are identified in forms or process activities. However, instances that are already under execution can continue to use the formulas with no interruptions.

From June 30th, 2025, depreciated formulas will completely cease to be executed by the system.

 

 

More control and flexibility in automatic execution configurations

In this version, we improved the organization of configurations to make the process clearer and easier to use. 

Now, the automatic execution configurations have been separated from the general execution configurations, providing a more intuitive distinction between the two types of adjustments. In addition, new automatic execution options have been included, providing even more flexibility and control over workflow automation.

See the new automatic execution options below:

  • Cancel a document.
  • End an initiative.
  • Close action plan date rescheduling.
  • Close a program.
  • End control evaluation.
  • End risk evaluation.
  • End training for all participants.
  • End object revision (Asset, Supply, Item, Document, or Process).
  • Close the creation of an object (Asset, Supply, Item, Document, or Process).
  • Cancel workflow.
  • Close workflow.

 

More control in the blocking action configurations in the execution of activities

In this version, we have improved the feature that allows users to manage and define blocking actions on activity actions. 

Now it is possible to customize these configurations to establish clear and specific criteria, ensuring that tasks are only performed when all necessary conditions are met.

Blocking actions will be executed only after the completion of the previously defined associations.

Additionally, new blocking actions were included, such as:

  • Supply - Does not allow the execution if a supply associated with the instance is in one of the following statuses: Issue, Under revision, Cancelled, Released.
  • Asset - Does not allow the execution if an asset associated with the instance is in one of the following statuses: Issue, Under revision, Cancelled, Released.
  • Risk - Does not allow the execution if a risk associated with the instance is in the following status: Released.
  • Storeroom
  • Initiative - Does not allow the execution if an initiative associated with the instance is in one of the following statuses: Planning, Evaluation, Approval, Closed, Released.
  • Program - Does not allow the execution if a program associated with the instance is in one of the following statuses: Planning, Planning approval, To be started, Revision, Revision approval, Execution, Execution approval, Closure, Cancelled, Postponed.
  • Training - Does not allow the execution if a training associated with the instance is in one of the following statuses: Planning, To be started, Execution, Evaluation.
  • Nonproject task - Does not allow the execution if a nonproject task associated with the instance is in one of the following statuses: Planning, Planning approval, To be started, Revision, Revision approval, Execution, Execution approval, Closure, Cancelled, Postponed.
  • Maintenance - Does not allow the execution if a maintenance associated with the instance is in one of the following statuses: Under programming, Programming approval, To be started, In progress, Execution approval.
  • Item - Does not allow the execution if an item associated with the instance is in one of the following statuses: Issue, Under revision, Cancelled, Released.

 

Simplified creation with template process

With the new template process feature, creating processes has become simpler and more efficient, thanks to the use of predefined templates. 

When selecting a template, the user is led by an intuitive creation wizard that facilitates the configuration of the steps and the addition of extra information. 

This guided flow not only accelerates process creation, but also offers greater customization, allowing the user to adjust the template according to their specific needs.

This feature is available exclusively for clients who use the SoftExpert Cloud platform.

 

Create a nonproject task process with the template:

  • Task execution: plan and perform tasks in an organized and efficient way, following the full life cycle.

Create request processes with the templates: 

  • Document cancellation request: centralize and organize the cancellation of documents, ensuring that all requests are recorded and monitored efficiently.
  • Document creation request: this template allows users to track and organize each document creation request, for an efficient and well-structured process from start to finish.
  • Maintenance creation request: manage and organize maintenance requests, facilitating their efficient and accurate execution.
  • Project creation request: organize and manage project creation, ensuring that all demands are planned and met efficiently.
  • Output event request: manage and organize requests for output events of supplies, facilitating accurate and efficient recording of storeroom outputs.
  • Item order request: manage and organize item order requests, ensuring orders are received and recorded efficiently.
  • Calibration record request: manage and organize calibration requests, ensuring all activities are recorded and tracked accurately and efficiently.
  • Action rescheduling request: centralize and organize action rescheduling requests, ensuring that all deadline and responsibility adjustments are properly recorded and executed effectively.
  • Document revision request: facilitate the request and start of document revision, centralizing and following the demands quickly and efficiently.

Create occurrences with the templates:

  • Occurrence record: efficiently manage the life cycle of an occurrence, from identification to effectiveness verification.
  • Integrated occurrence record: manage incidents in an integrated manner, combining cause analysis and action plan planning in a single step, providing more cohesive management.

 

Use of AI in SoftExpert Process

Starting with version 2.2.3, it is possible to configure a native web service in the system activity, which enables integration with generative artificial intelligence (AI). 

This feature expands the automation and innovation capabilities of the system. By combining the features of the Copilot, Workflow, Process, and Form components, it is possible to free your team from repetitive and manual tasks, allowing employees to focus on higher-added-value activities.
