SoftExpert Survey tasks

 

Prerequisite

  • Access to the My tasks menu.

 

Introduction

Tasks are records generated for users to take certain actions. They are divided into two categories: Execution and Tracking.

Despite being under the responsibility of a specific user, tracking tasks do not need to be executed by them.

Execution tasks need to be carried out by the user within a defined period.

Execution tasks

Survey critical analysis

Who receives it User responsible for the critical analysis, or member of the team responsible for the critical analysis.
When The execution or correction step is finished and the record is sent to the next step. 
Purpose To perform a critical analysis of the survey answers. Access the Executing the critical analysis of a survey article and learn more.
 
 

Survey critical analysis approval

Who receives it Members of the route responsible for approving the critical analysis of the survey.
When The critical analysis of a record is finished and sent to the approval step.
Purpose Approve or reject the critical analysis of a survey. Access the Approval steps in SoftExpert Survey article and learn more.
 
 

Survey closure approval

Who receives it Members of the route responsible for approving the closure of the survey.
When The closure of a record is finished and sent to the approval step.

Survey planning approval

Who receives it Members of the route responsible for approving the planning of the survey.
When The planning of a record is finished and sent to the approval step.

Survey correction

Who receives it User responsible for the correction, and member of the team responsible for the correction of the test.
When The execution of a test with manual correction is finished.
Purpose Correct the descriptive answers of the test respondents.
 
 

Survey closure

Who receives it User responsible for the closure, or members of the team responsible for the closure.
When The execution, correction, critical analysis, or critical analysis approval step is finished.

Survey execution

Who receives it User responsible for the survey, or members of the team responsible for the survey.
When When the planning step is finished and the record is sent to the next step, or after a record is added through the Execution > Survey execution menu.
Purpose Start execution, enable the record to be answered, finish survey execution manually, etc. This task presents records with the "Start" or "Execution" status.
 
 

Survey planning

Who receives it User responsible for the survey, or members of the team responsible for the survey.
When The survey planning is saved but not sent to the next step.
Purpose Finish drafting the planning of a survey, which allows for making the necessary adjustments before sending it to the next step.
 
 

Survey response

Who receives it Respondents of the record, or members of the team responsible for completion configured in the general data of the record.
When The record is enabled to be answered.
Purpose Allow users to answer surveys and tests.
 
 

Template revision

Who receives it

ISO9000 based:

  • Draft/Review/Approval/Release: Users defined as template revision participants.
  • Closure: The user who created the revision will receive this task if the "Manual" option is selected in the Revision publication field of the revision data screen.

Workflow: Executors of the workflow activity.

When

ISO9000 based:

  • Draft: When a new revision is started or when a participant rejects a revision step.
  • Review/Approval/Release: After the drafter releases their task. These steps are optional and the responsible parties receive them in the defined order.
  • Closure: After the execution of the last revision step defined in the route.

Workflow: When a new revision is started, and during the execution of a process activity.

Tracking tasks

Survey tracking

Who receives it User or team responsible for the record.
When The planning of a survey is finished.
Purpose

Allow responsible users to track the survey. 

This task presents records that are in the “Critical analysis approval”, “Closure approval”, “Closure”, and “Critical analysis” steps. Records in the execution step with configured closure options will also be presented in this task.

 
 

 

Conclusion

Tasks disappear from the task menu as they are executed or closed.
