Calculating the progress of the key result

 

Prerequisites

  • User with permission for the Objective > Execution, Planning, or View menus in SoftExpert Configuration > Configuration > Access group (CM011).
  • Objective in progress with at least one key result defined.
  • User with the View control enabled in the objective security list.

 

Introduction

When tracking the objectives, it is essential to have a clear vision of the achieved progress regarding key results. To do so, it is possible to use the Key result progress column, which indicates the progress quantitatively.

The progress can be calculated in several ways, depending on the key result type! In this article, as an example, the key result progress will be calculated through the Objective (OK002) screen, using 4 key results of the Increase customer satisfaction objective and displaying 3 options for numeric criterion results.

The objective progress calculation is performed differently, through a weighted average of the progress percentages of its key results.

 

 

Accessing the key result progress

1. Access the Objective (OK002) menu.

2. Hover the mouse over the desired objective and click on the Expand button that will be displayed.

3. The key results of the objective will be displayed, and it will be possible to view the actual progress of each one.

 

Performing the calculation

For this example, 4 key results of the Increase customer satisfaction objective will be used:

  • Decreasing the average support response time from 24 hours to 12 hours.
  • Reaching a recommendation level of 9.5 and maintaining this value as a reference for customer satisfaction.
  • Increasing the rate of additional sales or upsells from 10% to 15%.
  • Performing post-delivery satisfaction surveys to evaluate the quality of the delivery service and identify possible areas of improvement to ensure continuous customer satisfaction.

 

For numeric criterion results, there are three options. See the examples below:

 

Increase value

In this case, the objective is to increase a certain initial value to an established target.

As an example: the initial value of our additional sales rate is 10%, and our target is reaching 15%. Now, if the current value is 13%, how do we calculate the progress?

We can simplify it with this formula: (current value - initial value) / (target - initial value) * 100.

In our example, that would be (13 - 10) / (15 - 10) * 100 = 60% of achieved progress.

 

Maintain value

For this option, we have a simple rule: we achieve 0% of progress when the value is different from the established target and 100% of progress when it is equal to the target.

For example, if the initial value for the recommendation index is 9.0, and our target is to maintain the index at 9.5. If the current value is 9.2, it means 0% of progress, indicating we have yet to reach the target.

 

Decrease value

This criterion aims to decrease an initial value to a lower target.

For example, if the initial average support response time is 24 hours, our target is to decrease it to 12 hours, and the current value is 15 hours, how do we calculate the progress?

We can use this formula: (initial value - current value) / (initial value - target) * 100.

Thus, we would have (24 - 15) / (24 - 12) * 100 = 75% of achieved progress.

 

In addition to the options for numeric criterion results, there is also the Deliverable result type. In this case, when checking in, the user does not enter a value, but the step in which the work is found. See a practical example below:

  • Not started: represents 0% of progress, indicating that the work has not been started.
  • In progress: when we are working to reach a result, such as "Performing post-delivery satisfaction surveys to evaluate the quality of the delivery service and identify possible areas of improvement to ensure continuous customer satisfaction", and research is already under execution, we reach 50% of progress.
  • Finished: indicates that the work has been finished, reaching 100% of progress.

 

Conclusion

Thus, through the progress field, it is possible to track the progress of the key result. To do so, simply use one of the existing methods to track the objective.

Remember to close the objective when it is achieved.
