Managing activity scheduling

Introduction

Activity scheduling is an essential resource that allows for setting the execution frequency of activities belonging to a plan within a specific period. This scheduling provides greater visibility of the work plan, enabling users to make the adjustments needed to balance resources utilization efficiently.

Practical example

Suppose a piece of equipment requires monthly calibration. The system allows for configuring a schedule to automatically create calibration activities every month over a defined period. For example, for a one-year scheduling period, the system will automatically generate calibration activities that will take place every 30 days.

Therefore, instead of generating tasks monthly, the system will create all the necessary records for the entire period configured in the scheduling.

Main screen structure

The main screen of the activity scheduling resource is divided into three quadrants:

  1. First quadrant - Search filter panel: allows for locating plans and their activities quickly and easily, thus facilitating the management and visualization of scheduled tasks.
  2. Second quadrant - Plans created in the system: displays all activity plans that have been created in the system, providing an organized overview of them.
  3. Third quadrant - Scheduled activities: displays the scheduled activities of the plan selected in the second quadrant, providing details about the programming and execution of the tasks.

This organized and functional layout makes it easier to manage and track the activities, ensuring that all necessary tasks are carried out as planned and on time.

Managing activity scheduling

1. Access the Management > Activity scheduling (MA005) menu.

2. Locate and select the desired activity plan in the second quadrant.

3. Click on the button from the top toolbar.

4. In the first step, in the Which plans do you wish to schedule? section, add the plans that must have their activities executed in the period that will be scheduled.

The plan that was selected from the list of records in the second quadrant will be displayed, and it will be possible to remove it and/or associate it with other plans. Use the buttons available on the side toolbar to perform these operations.

 

5. Click on the Next button to access the next step.

6. In the second step, in the What's the scheduling period? section, the date until which the calibration activities will be scheduled must be set. The number of schedulings is given by the frequency defined in the standard activity of the activity plans. Fill in the following fields:

Generate activities until: select the date that ends the activity scheduling period.

Activity start date: select whether the start date of each scheduled activity will be fixed or variable:

  • Fixed: each activity will start precisely on the scheduled date, regardless of whether any previous activity was executed after the scheduling date.
  • Variable: the start of each activity will vary depending on the execution of the previous activity, in accordance with the frequency defined in the activity.

Create activities in: inform whether the activities will be created in the planning or execution step.

7. Click on the Next button to access the next step.

8. In the third step, all information about the activity scheduling will be available. Check that the data is correct.

9. Click on the Finish button to complete the scheduling and exit the wizard.

  • Use the Previous button to return to a previous step in the scheduling and make any necessary edits.
  • Use the Cancel button to exit the scheduling wizard. In this case, all data entered so far will be lost.
 

 

Conclusion

Once saved, the scheduling will be completed and the activities of the plan will be created as configured.

With the activity scheduling resource, managing maintenance, calibration, and verification plans becomes more efficient, thus contributing to the proper functioning and longevity of the organization's assets.
