Adding keywords to a document

 

Prerequisites

  • Access to the Document (DC010) menu.
  • Previously created document.
  • SoftExpert Copilot must be acquired by your organization, with an API configured in the Gen AI & NLP tab to generate keywords with AI.

 

Introduction

Keywords are words related to a created document that aid the search engine in finding the documents.  

For example: when creating a document about a project, it is possible to relate the keyword "plan" or "project" to the document. This way, said document can be found more easily when necessary.

 

Adding keywords to documents

1. Access the Document (DC010) menu.

2. Locate the desired document and hover the mouse over it.

3. Click on the button that will be enabled.

4. Access the Keyword tab in the navigation panel.

5. To add a new keyword, write it in the displayed field and click on Create at the bottom of the list.

6. To add an existing keyword, expand the displayed field, select a keyword, and click on .

7. To add keywords using AI, click on the Generate button and select the desired keywords among the generated options.

  • The Generate button will only be available if a language API is configured in SoftExpert Copilot. 
  • If the document has multiple electronic files, when the Generate button is clicked, it will be necessary to define the file as of which the keywords will be generated.
 

8. Click on Save and exit after adding all desired keywords.

 

Conclusion

With these steps, the keyword has been associated with the document, which makes for easier searches in the future.
