Defining a business rule trigger

 

Prerequisites

  • Access to the Business rule (BR001) menu.
  • At least one of the following components must be part of the solutions acquired by the organization: SoftExpert Administration, SoftExpert Analytics, SoftExpert Audit, SoftExpert Knowledge base, SoftExpert Customer, SoftExpert Competence, SoftExpert Configuration, SoftExpert Document, SoftExpert Supplier, SoftExpert Kanban, SoftExpert OKR, SoftExpert PDM, SoftExpert Action plan, SoftExpert Survey, SoftExpert Risk, SoftExpert Training, or SoftExpert Workflow.

 

Introduction

SoftExpert Business rule begins to operate when a business rule is created. When creating a rule, we first define a trigger. 

Triggers are events that start the execution of business rules in SoftExpert Suite. They determine when a rule will be activated.

See below how to set a business rule trigger:

 

Defining a trigger

1. Access the Business rule (BR001) menu and click on Create.

2. On the screen that will open, select the component in which the trigger will be fired.

3. Specify the trigger of the action. The components have different triggers:

SoftExpert Administration

When feedback is given The rule will be activated when feedback is given.
When feedback is received The rule will be activated when feedback is received.
When it is the birthday of a user The rule will be activated when it is the birthday of a user.
When it is the company anniversary of a user The rule will be activated when it is the company anniversary of a user.
When the default department/position of the user is edited The rule will be activated when the default department/position of the user is edited.

SoftExpert Analytics

Every time period The rule will be activated at defined regular intervals. Enter the recurrence pattern (daily, weekly, monthly, etc.), the analysis that will be used, the vision that will be used, the field to define the condition, and a value to be compared with the analysis result.

SoftExpert Audit

When a step is started The rule will be activated when an audit step is started.
When an audit is closed The rule will be activated when an audit is closed.

SoftExpert Knowledge base

When an article is created The rule will be activated when an article is created.

SoftExpert Customer

When a customer is created The rule will be activated when a customer is registered in the system.
When a customer is evaluated The rule will be activated when a customer is evaluated.
When a customer is inactivated The rule will be activated when a customer is inactivated.

SoftExpert Competence

When a competence evaluation is finished The rule will be activated when a competence evaluation is finished.

SoftExpert Configuration

Every time period The rule will be activated at defined regular intervals. Enter the recurrence pattern (daily, weekly, monthly, etc.), the frequency, and the start date.

SoftExpert Document

When a revision is released The rule will be activated when a revision is released.

SoftExpert Supplier

When a supplier is created The rule will be activated when a supplier is registered in the system.
When a supplier is evaluated The rule will be activated when a supplier is evaluated.
When a supplier is inactivated The rule will be activated when a supplier is inactivated.

SoftExpert Kanban

When a step of the task is edited The rule will be activated when a step of the task is edited.
When a task is created The rule will be activated when a task is created.

SoftExpert OKR

When an objective is reached The rule will be activated when an objective is reached.

SoftExpert PDM

When an item is created The rule will be activated when an item is created.
When an item revision is created The rule will be activated when an item revision is created.
When an item is released The rule will be activated when an item is released.
When an item characteristic is created The rule will be activated when an item characteristic is created.
When a special item characteristic is created The rule will be activated when a special item characteristic is created.

SoftExpert Action plan

When the status of an action plan is changed The rule will be activated when the status of an action plan is changed.

SoftExpert Survey

When a survey is answered The rule will be activated when a survey is answered.

SoftExpert Risk

When the control effectiveness is edited The rule will be activated when the control effectiveness is edited.
When the result of the inherent risk evaluation is changed The rule will be activated when the result of the inherent risk evaluation is changed.

SoftExpert Training

When a path is performed The rule will be activated when a path is performed.
When a training is performed The rule will be activated when a training is performed.
When a training is evaluated The rule will be activated when a training is evaluated.
When a training is given The rule will be activated when a training is given.

SoftExpert Workflow

When a workflow is started The rule will be activated when a workflow is started.
When an activity is executed The rule will be activated when a workflow activity is executed.

4. In the next step, answer the question Do you wish to add a condition? with Yes or No.

  • If "Yes" is selected, the displayed field must be filled in with a condition. Multiple conditions can be added to a trigger. Refer to the How conditions work article for more information.
  • If "No" is selected, the trigger will be added.
User following the steps described above to create a SoftExpert Kanban trigger.

 

Conclusion

The trigger of the rule has been set. Now, the actions must be configured in the business rule.
