Integration between the Report status and SoftExpert Risk

The display of risks in status reports has been redesigned for a simpler user experience. 

From now on, risks and opportunities are shown in the Associations section, along with the other status report associations.

This way, the specific risk section and the Project risks button have been removed. With this update, risk tracking in status reports is now more visual, integrated, and standardized.

 

AI chat to add records

Adding records through the Strategy (PR006), Communication channel (PR041), Communication item (PR042), Project role (PR043), and Objective (PR061) menus has become much easier!

With the new AI chat feature, you just need to write what you want with simple phrases, and the system takes care of filling everything out.

See how this feature works:

  • Type what you want in a text field, as if it was a conversation.
  • Choose among the suggestions the system will present.
  • The system will add the record automatically from the chosen example. 

This resource is available only to customers that use the SoftExpert cloud platform.

Moreover, in order for it to work correctly, the AI features permission must be enabled in the Access group (CM011) menu.

 

 

New request template processes

SoftExpert Request will continue on in the new version of the system, now with new request template processes.

These processes can be created through the Process (PM063) menu. See the new template process available in SoftExpert Project below:

  • Project revision request
  • Program request
  • Program revision request

Although the processes can be created from the process menu, the request tasks must be executed in their corresponding modules.

Restriction validation in projects and subprojects

The system now ensures that the restriction type defined in a project is used in all associated tasks and subprojects.

Subproject association is allowed between projects with the same restriction type. Additionally, existing tasks have been automatically adjusted for the Fixed date restriction type, and no action is required on the user's part.

With this update, we ensure greater consistency and reliability in project planning.

 

Change in the restrictions of Summary tasks

Tasks of the Summary type now support only two restriction types: As soon as possible and As late as possible.

This change simplifies the use of the resource and ensures greater consistency in the schedules.

Existing tasks have been automatically adjusted for the new restriction types, and no action is required on the user's part.

 

A more complete project history

Now, in addition to the information referring to the project itself, the history will also display the data of the tasks linked to it.

Thus, information relating to actions such as creation, deletion, sending for execution, closure, workflow associations and disassociations, besides the addition or deletion of attachments in both the project and its tasks, are centralized in the history.

As a result, tracking becomes more complete, and the management and traceability of anything that happens in the project become easier.

 

Mandatory input of costs and revenues

Now, there is a configuration in the project type that makes it a requirement to provide costs and revenues when closing tasks and projects.

For the cases in which this information is not necessary, the Not applicable field has been added to the cost and revenue data screen. When it is checked, it means that no values need to be inserted, which allows for greater flexibility when recording information.

With this new feature, the financial control of the projects becomes more practical and better aligned with the needs of each operation.

 

Greater agility with schedule import for created projects

In the new version, it is possible to import the schedules of projects created in SoftExpert Project, as long as the record is in the planning step and has no tasks added.

The import can be carried out through the Project (PR070) and Project planning (PR011) menus, with files in the .mpp, .mpx, or .xml format.

This makes the planning process more flexible and agile, allowing schedules to be imported directly in already created projects.

 

More control over projects through planned progress calculation

SoftExpert Project presents a new feature that allows for calculating the planned progress of project tasks.

Thus, it is now possible to view the planned progress percentage of the tasks, according to the defined schedule.

This way, it is much easier to compare the progress and quickly identify possible delays so that proactive measures can be taken. 

This new feature allows for keeping the project aligned with the planning!

 

New intelligent resources in the Action type menu

Version 3.0 brings new intelligent resources to the Action type (PR038) menu. 

The menu still has the same visual component, but with additional features that make for a more practical and intelligent experience. 

Now, it is possible to import records directly into the menu, which expedites data management, to use the Ask AI feature, which uses artificial intelligence to aid in the creation of records, with consistent and standardized information, and to automate the process through a REST API.

These improvements enable a more efficient record maintenance, reducing the time spent on manual activities and increasing user productivity. 

The "Ask AI" resource will only be available to customers that have the license for SoftExpert Copilot.

 

 

New AR (Associated records) column 

The D (Document), RI (Risk), M (Meeting), and AP (Action plan) columns have been unified in a single column: Associated records - AR

This column will be available in project, program, and portfolio schedules, and on the other menu screens of SoftExpert Project.

This new feature simplifies the visualization of all records related to the module's objects, making it easier to analyze and track information.

The Project schedule will not show the association preview. However, an icon indicating that the task has records associated will be displayed. 

In said cases, these records must be viewed from the task data screen.

 

Task center

The Task center is an evolution of the old My tasks menu, now with a more modern and efficient proposal. 

Previously, the user needed to access different screens in order to execute activities such as revisions, revalidations, etc. 

With the new Center, all tasks are gathered in a single optimized environment, which allows for a more fluid and centralized navigation. 

This redesign brings about greater convenience to the day-to-day routine, as it allows for viewing, filtering, and executing tasks of different types in a single place.

In version 3.0, the system keeps moving forward when it comes to standardizing data management. 

The Attribute (PR025), Team (PR026), and Checklist (PR027) menus have been removed from SoftExpert Project and are now centralized in SoftExpert Administration. 

This centralization makes for a simpler and more efficient user experience, allowing data maintenance to be carried out in a single place. 

The result is greater consistency among the modules, as well as greater agility for those who manage or use this information in the system. 

 

Deletion of duplicate menus

To simplify navigation and avoid redundancy, menus that were available in more than one place in the system have been removed.

These deletions seek to make the experience more intuitive for users, preventing them from accessing different screens to perform the same operations. 

In SoftExpert Project version 3.0, the Project and program approval (PR012) and Task verification (PR018) menus have been deleted to avoid duplicity with the Task center.
