Capturing e-mails
Prerequisites
- Previously configured e-mail import scheduling.
- Access to the SoftExpert Document > Configuration > E-mail import (DC036) menu.
- Access to the SoftExpert Workflow > Configuration > E-mail import (WF015) menu.
Introduction
After configuring an e-mail import scheduling, it is possible to test the e-mail capture.

Capturing e-mails
1. Send an e-mail to the same user whose e-mail account was inserted in the scheduling:

2. Wait for the moment the verification is executed, in accordance with the recurrence configured in the scheduling.
3. When the verification is executed, the action to be performed will differ according to the component in which the scheduling has been configured:
SoftExpert Document | The e-mail will be captured, and a new document will be created in the category defined in the scheduling. |
SoftExpert Workflow | The e-mail will be captured and saved in the Inbox tab of the scheduling. The action will be executed in accordance with the rule defined in the scheduling, such as process start, history insertion, or activity execution. |
• If the executed rule is Instantiate process, the title of the workflow will be the message subject of the captured e-mail. If the e-mail content format is Text without formatting, the description of the workflow will be the content of the captured e-mail.
• The workflow created from the e-mail capture will be available to the user defined as starter in the following tasks: Execution > Activity execution and Tracking > My workflows.
• Depending on the upload security configurations set in the Configuration > System (CM006) menu of the Configuration component, some file extensions may be blocked for upload, or only some extensions will be allowed for it. In order for the e-mail import to be completed successfully, the .eml extension must be allowed.
Tracking the history
After executing the import, the system creates a log history on the scheduling data screen.
1. Access the SoftExpert Document > Configuration > E-mail import (DC036) menu or the SoftExpert Workflow > Configuration > E-mail import (WF015) menu.
2. Select the scheduling that has been created and click on the button.
3. The History tab will show the logs of completed executions. Use the Status, Start date, and End date fields to filter the log records. Use the button to view log record details.
