Configuring management in the activity
Prerequisites
- Access to the Process (PM063) menu.
- Previously created and modeled process.
- User activity, system activity, or decision added to the process flowchart.
Introduction
Management configuration defines who will be the manager of the instance while this activity/decision is under execution.

Configuring the management
1. On the activity/decision data screen, click on Configurations > Management.
2. Check and configure the desired options:

Define instance manager
If this option is checked, when the activity is enabled for execution, the instance manager will be updated according to one of the following options:
- Team: the instance managers will be the members of a defined team. To this end, select the intended team in the respective field.
- User: the instance manager will be a specific user. To this end, select the intended user in the respective field.
- Position: the instance managers will be the users who hold a defined position in the organization. To this end, select the intended role in the respective field.

Department: the instance managers will be the users from a defined department of the organization. To this end, select the intended department in the respective field.
In this case, it will also be possible to define whether the instance manager will be restricted to a team or a position. To this end, check the Restricted field and select one of the options. - Defined in the instance: the instance manager will be defined during the execution of the instance in SoftExpert Workflow. In this case, the following options will be available: Process starter, Process starter leader, Executor, Specific activity executor, or Specific activity executor leader.
Dynamically set the instance manager
If this option is checked, when the activity is enabled for execution, the instance manager will be dynamically defined by the system according to one of the following options:
| Execution matrix |
The instance manager will be defined using a responsibility matrix. An execution matrix associates an attribute and its values to a manager (user or functional role). This allows the instance management to be assigned to a different user or functional role, for each instance, when enabling the execution of the activity in question, according to the value inserted in the attribute. The activity/decision must be configured with the same attribute of the execution matrix that will be used in this field. |
| Attribute |
The instance manager will be defined by the value inserted in a given attribute. Thus, select the desired attribute, whether it is an external attribute, a list of values, or any other attribute in which the user must select/type its value. Then, in the Attribute contains field, state whether the information in the attribute will be the user's name, ID, or login. It is also possible to configure if the attribute value defines the manager or if the leader of the user entered in the attribute defines the manager. In the execution of the activity, the value entered for the name, login, or ID of the user who will execute the activity must be exactly the same as in the user's record in SoftExpert Administration. |

If this option is selected, the manager of the instance will be defined through a formula selected in this field. Click on the The CHANGEMANAGER function allows the manager to be: User, Department, Department/Position, Team, Process starter, Process starter leader, Specific activity executor, Leader of specific activity executor, Executor, and Attribute. 3. If the options above are not checked, the instance manager will be the manager defined in the process data, in General data > Management.
4. After configuring the activity/decision management, click on Save and exit.
