Create a category with revision control

As previously mentioned in this guide, the category creation is quite important, as it has, in summary, two objectives:

  • Organizing the documents, like a classification from a bookstore or a library;
  • Defining the behavior of the documents in this category.

A work instructions category, for example, will have revision control, as it is edited as time goes by. Moreover, its security can be restricted so that only the people involved in the process can edit it.

To do that, perform the following steps:

 

1st step: Adding a category and configuring the revision control

Access the DC043 menu and click on the button on the toolbar.

On the screen that will be opened, enter an ID # and the name of "Work instruction", and select the icon that will represent it.

Then, access the Control tab and check the Revision option.

In the Route type field, check the "Variable" option. The other required fields will be filled out by the system and must be kept as they are.

Next, click on the button and wait for the screen to load again.

 

2nd step: Defining the category security

We will now revise the security of the documents that will be created in this category so that only your user can edit and revise them, but all SE Suite users can view them.

To do that, perform the following steps:

Access the Details tab, in the Security > Document section.

Keep the Inherit (default) category security list option checked. Thus, when documents are created in this category, the security list configured in this section will be applied to them.

Click on the button on the side toolbar.

On the screen that will be opened, select the "User" option in the Access type field.

Next to the Control field, click on the button to check all available options.

Fill out the User filter with your user data and press ENTER.

In the list of records, select your user and click on the button.

At this point, the screen will be reloaded. Select the "All" option in the Access type field.

Clear the Control field by using the button next to it.

Expand the listing on the Control field and check only the following options: "View" and "Save locally".

Once done, click on the button.

All done! The security of the documents in the category has been defined.

As the access to the category itself will not be restricted, no configurations will be performed in the Security > Category section.

After performing the steps above, click on the button on the document data screen.

Thus, the "Work instructions" category has been duly configured for the creation of documents!
