Burn a document in media and archive it

Once the document retention deadline in the Current step expires, it will be sent to the next step, which is Media burning, according to the record retention schedule.

To send the document to this step, perform the steps below:

 

1st step: Issuing and executing a transfer form

Once the media is created, we will create a transfer form.

To do so, access the My tasks > Media burning form issuance menu.

Now, search for your document and click on the button.

It is worth noting that the mentioned document will only be displayed once the retention deadline, which is the deadline configured in the record retention schedule, expires.

 

On the transfer form screen, simply click on the button.

The transfer form has been created and executed successfully!

 

2nd step: Receiving the form and archiving the document

After executing the transfer form, it will be received by the archiving responsible parties for the media burning step, as configured in the record retention schedule.

For this example, the previously mentioned responsible party will be your user.

To do so, access the My tasks > Media burning form receiving menu.

Now, search for the previously created transfer form and click on the button.

At this point, the transfer form will be opened once again.

We can check whether the data entered in the form is correct and decide whether the receiving will be approved.

For this example, we will consider the data to be correct and approve the form, according to the example below.

 

After that, click on the button.

Once the form is approved, a media burning task is generated for the responsible parties.

To check the activity, access the My tasks > Media burning menu.

Search for the record and click on the button.

On the Media field of the screen that will be opened, select the "Pen drive 01" media.

 

After doing that, click on the button.

The media burning was finished successfully!
