Tracking the progress of a program

Introduction

Tracking the progress of a program allows the responsible parties to monitor the evolution of the associated initiatives, which ensures that they are aligned with the defined objectives.

Through this menu, it is possible to check how the program is going, review recorded information, and apply adjustments whenever necessary, which guarantees an efficient and integrated management of any linked projects and subprograms.

This article will demonstrate how to use the resources available for the tracking and execution of a program, as well as for keeping its conduction under control.

 

Revising a program

1. Access the Management > Program tracking (PR054) menu.

2. Locate and select the desired program.

3. Click on the toolbar button.

4. Fill in the Deadline field with the date up until which the revision must be carried out.

5. In the Requests tab, it is possible to execute program revision requests issued in the Request component. To do so, select the desired request and check the Execute request option.

  • This tab will only be enabled if the program has a pending revision request.
  • This operation can also be performed through the request execution to-do task.

6. In the Comments tab, record important information about the revision.

A comment must be inserted if the "Require completing the comments when starting a project revision" option is enabled in the general parameters or in the project type.

 

7. In the Approval tab, it is possible to view or define the parties responsible for approving the revision. 

  • This tab will only be displayed if, in the Approval tab of the program type, the "Approval step?" option is checked.
  • The insertion of information in the Approval tab depends on the selected route type. If it is a "Fixed & unique" route, the Approval tab cannot be edited.
  • The selected responsible parties will receive the Project and program approval to-do task after the revision is executed.
 

8. After filling in all the required fields, save the record. At this point, the party responsible for the program will receive the revision to-do task.

 

Rescheduling a program

1. Access the Management > Program tracking (PR054) menu.

2. Locate and select the desired program.

3. Click on the toolbar button.

4. In the Rescheduled section, enter the new start and end dates of the program.

5. Save the record to apply the new dates.

  • Note that the dates in the Actual section are inserted as the tasks of the projects that compose the program are executed.
  • If necessary, it is possible to edit the fields in the other sections.
 

 

 

Changing the status of a project/program

1. Access the Management > Program tracking (PR054) menu.

2. Locate and select the desired program.

3. Expand the More button and click on Change status.

4. In the Action field, select the desired action to change the status of the program:

  • Cancel: it cancels the execution of the program.
  • Postpone: it temporarily interrupts the execution of the program.
  • Reactivate: it reactivates a program that has been postponed or cancelled.

5. In the Explanation field, enter an explanation for the selected action.

6. Save the record. The program will be shown with the status corresponding to the action selected at step 4.

  • Projects and programs may have their statuses changed while they are in the planning, execution, and tracking steps.
  • The explanation provided at step 5 can be viewed in the History section of the program data screen.
  • When canceling a program, the system will display a message asking if you wish to change the status of the objects associated with it as well. Confirm to perform this operation.
