Tracking the progress of a project
Prerequisites
- Access to the Management > Project tracking (PR013) menu.
- Project in the execution step.
- Previously created status report template to generate a status report.
Introduction
Project tracking allows responsible parties to monitor the progress of tasks and make adjustments whenever necessary. Thus, it is possible to check the evolution of a project, identify deviations, and apply corrections in order to keep it aligned with the planning.
Among the available features, the following ones stand out:
- Project progress chart displaying the evolution of the project.
- Report for a detailed analysis of the status of the project.
- Changes made to the schedule, including: addition and deletion of tasks, deadline adjustments, and change of the parties responsible for the tasks.
- Project rescheduling.
This article will demonstrate how to use these resources in order to ensure an efficient tracking and keep control over each step of the project.
Analyzing the progress of a project
The progress chart allows for tracking and comparing what has been planned, rescheduled, and actually done in a project.
1. Access the Management > Project tracking (PR013) menu.
2. Locate and select the desired project in the list of records.
3. Expand the More button and click on Project progress.
4. On the screen that will open, define whether the type of the information that will be displayed in the chart must be Details, with a specific period, or Summary, with specific data.
5. Insert the necessary data, based on the selected option:
- Details: in the Chart options section, enter the frequency in days, weeks, or months that will be displayed in the project progress chart.
- Summary: in the Display section, keep checked only the information that must be shown in the project progress chart, such as planned and actual data.
6. Click on the Project progress button. At this point, the project progress chart will be shown, and its display can be edited.

Analyzing the progress of tasks
The progress chart allows for tracking and comparing what has been planned, rescheduled, and actually done in project tasks.
1. Access the Management > Project tracking (PR013) menu.
2. Locate and select the desired project in the list of records.
3. Expand the More button and click on Task progress.
4. In the Task list section, click on the button and select the project structure tasks that must be displayed in the progress chart.
5. In the Chart title section, check the information that must be displayed as the title of the progress chart: project ID #, project name, and date.
6. In the Label section, keep checked the information that must be displayed in the data labels of the progress chart: WBS, ID #, and task name.
7. In the Task filters section, use the displayed fields to specify through which information the tasks from the list must be shown in the chart.
8. Click on the Task progress button. At this point, the task progress chart will be shown, and its display can be edited.

Generating a status report
1. Access the Management > Project tracking (PR013) menu.
2. Locate and select the desired project in the list of records.
3. Expand the More button and click on Status report.
4. Enter an ID # and a name for the status report.
5. The Template field is filled in by the system with the default status report template defined in the project. If there are other status report templates associated with the project, select one of them to be used.
6. Select the customer for which the status report will be issued.
7. Select the contact of the customer for which the status report will be issued.
8. Click on the button to generate the report.

This operation can also be performed through the data screen of the project being tracked. To access this operation, on the project data screen, go to the Configurations > Status report section.

Rescheduling a project
1. Access the Management > Project tracking (PR013) menu.
2. Select the desired project and click on the button.
3. In the Rescheduled section, enter the new start and end dates of the project.
- Note that most fields on this screen are filled in with the data provided during the planning of the project. Some fields can be edited, if necessary.
- If the "Mandatory to revise the project replanning" option has been checked in the general parameters or in the project type, some fields on the project data screen will only be available for editing when a revision is created. In this case, create a revision for the project first, and then edit the data through the Project and program revision to-do task. After redefining the desired data, close the revision.
- The display of some sections and fields may vary if the logged user has any restrictions configured in the project type.
- The dates in the Actual section are inserted as the project tasks are executed.
4. After filling in all the required fields, save the record.
