Prerequisites

  • Team previously registered.
  • Access the Registration menu > Evaluation Plan (CO005) .

Presentation

Through this menu, evaluation plans are registered that will define how performance and competency assessments of employees will be carried out in SoftExpert Competência.

The evaluation plan outlines the general data, applicability, responsible teams, types of evaluation, evaluators involved, goals to be evaluated, and other parameters that determine how the evaluation process will be executed throughout the cycle.

Next, see how to register a new evaluation plan.

Register evaluation plan

1. Access the Registration menu > Evaluation Plan (CO005) .

2. In the main toolbar, click the button to register a new plan.

3. On the plan details screen, enter the plan identifier and name .

4. In the Frequency section, select the plan's frequency type:

  • Execution date: defines the frequency of the evaluation, requiring the completion of frequency, anticipation, and next execution of the task.
  • Uncontrolled frequency: allows execution to be started manually, without automatically generating tasks.

If the frequency used is Execution Date , the system will automatically send the Assessment Plan Opening task to the responsible team members.

5. Select the team that will be responsible for the plan in the Responsible Team field.

6. The Last Execution field will be automatically filled in to indicate the date of the last execution of the plan, if an execution has occurred.

7. In the Description field, you can record relevant observations about the plan.

Assessment plan settings

The Settings section brings together all the parameters that define how the plan will be executed. It contains several subsections. The Evaluation Type and Evaluator Type subsections must be configured for an evaluation plan to be registered in the system.

Type of evaluation

This field defines what is included in the evaluation result and its weighting. It specifies the percentage of each dimension's contribution to the final level/result calculation. The available options are Competency and Objective . If only one dimension is considered, it will have 100% of the weighting during the evaluation.

Skills

Define which competencies are included in the assessment: mapped competencies or specific competencies .

If the “Assess mapped competency” option is chosen, it will be necessary to indicate whether the competencies were mapped to the organization , by process , by area and function , by team , etc. In addition, you must indicate whether the competency is required or desirable . It will also be possible to specify the type of competency that will be part of the assessment.

If the “Assess specific competency” option is selected, it will be necessary to indicate the competencies to be assessed using the Competency button. Then, it will be possible to search for the desired competencies on the competency selection screen, filtering the search by Competency Type , Mapping Type , Keyword , and Requirement.

Type of evaluators

Define who evaluates (self-evaluation, leader, team members, peers, and consensus), how many peers/team members participate, and the weights used in reaching consensus (consensus is enabled by default). The " Weight in consensus" column can only be filled in if the "Use specific weight by evaluation type" option is enabled in the Consensus subsection .

It is also possible to select the questionnaire template and enable the option "Allow viewing of the evaluated person's skills" so that the evaluated person's skills can be seen during the evaluation.

Career and succession

This subsection will only be available if leader evaluation is enabled in the "Type of reviewers" section.

This subsection configures potential, promotion, retention, etc. items to be evaluated (usually by the Leader); if these items are enabled, the leader's evaluation may be prevented from completing without this step.

Consensus

In this subsection, define whether a specific weight will be used for each type of evaluation and whether consensus will be generated automatically or not.

If the "Use specific weight by evaluation type" option is disabled, the system will consider a weight of one for all evaluators.

If the “Generate consensus automatically” option is disabled, the consensus evaluation will be generated for the employee's leader in the evaluation execution menu instead of being automatically calculated by the system.

Result

This subsection controls how the result will be made available: it can generate a result review task, release the result only after feedback, and/or release it on a date defined in the plan's settings.

The option “Release results only after feedback” will only be available if the option “Allow employee feedback” is enabled in the Feedback subsection.

Performance

This subsection allows the use of consensus evaluation as a result of employee performance, impacting display in the performance vs. potential matrix and in the employee profile.

Feedback

This subsection defines whether it will be possible to send feedback to the employee and, if enabled, can define whether there will be confirmation of the feedback, with a limit on the number of actions. Each action in the feedback will be counted as one action.

Development plan

This subsection allows you to generate a Personal Development Plan (PDP) from the assessment, defining a default category and whether it will be possible to change this category when creating the plan.

Rounding

This subsection specifies how to calculate the competency score with assessment items (rounds level up/down and considers actual score vs. level score).

General definitions

The general definitions section brings together "global" rules for execution (e.g., requiring preparation, allowing completion without evaluating everything, requiring evaluation of required competencies, requiring justification below the mapped level, automatically ending execution upon completion of all evaluations).

Display settings

This subsection controls what appears on the evaluation screen (e.g., display mapped level, weight, level grade, performance level), as well as the use of the Verification Method (display and/or require completion).

Configure applicability

In the Applicability section, you should include the employees to whom the plan will be applied.

1. In the Minimum time in the organization field , define the minimum time the employee will have to participate in the plan.

2. Click the button to indicate which employees will participate in the evaluations.

3. On the screen that opens, select the desired control and use the filters available in the controls to search for the desired user, team, organizational unit, function, area, process, or activity.

4. After selecting the record, click Save .

5. You can also select the collaborator and click the button in the sidebar toolbar to view their information.

View plan execution

In the Evaluation Plan Execution section , the cycles that the plan has already gone through or is currently going through are displayed.

Conclusion

We have successfully registered an assessment plan. Next, see how to plan an assessment in the article Generating assessments in Softexpert Competency.
