Mapping courses and paths in SoftExpert Training

 

Prerequisites

  • SoftExpert Administration among the solutions acquired by your organization.
  • SoftExpert Competence among the solutions acquired by your organization.
  • SoftExpert Process among the solutions acquired by your organization.
  • Access to the Management > Course mapping (TR005) menu.
  • Access to the File > Course (TR004) menu.

 

Introduction

Mapping courses and paths is a way to target the right content at the departments and positions of an organization, ensuring the specialization of its employees. Processes can also have courses and paths mapped in order to be conducted in a more qualified manner.

Mapped courses may be required or desirable, which allows for determining their importance more accurately.

Mapping can be performed through the data screen of both courses and paths, or via the Management > Course mapping (TR005) menu. The course mapping menu, in addition to featuring more details, integrates with other components. Thus, it allows for a more thorough mapping as to teams, departments, positions, processes, process activities, etc.

Mapping via the course data screen or path data screen

1. Access the File > Course (TR004) menu.

2. Select the desired course or path and click on the button.

3. On the screen that will open, go to Mapping.

4. Click on the button to add a mapping to the selected course.

5. In the Control field, specify whether the course will be mapped for a team, department, position, etc. 

6. Use the Department, Position, Process, and Activity fields to filter the records.

7. In the Requirement field, specify whether the course will be required or desirable for the selected record.

8. After selecting the desired record, click on Save.

9. Finally, close the record, and it will be mapped.

 

Organizational mapping

To add courses or paths to the mapping, follow the steps below:

1. Access the Management > Course mapping (TR005) menu.

2. In Visions, choose whether you wish to view organizational units, positions, departments, teams, or employees.

3. In the list of records, select the desired record in the first quadrant and click on the button in the second quadrant.

4. Then, find the course that will be associated and, if you wish to make it mandatory, check the Required column.

5. After selecting the course or path, click on Save

Thus, a course or path is mapped.

To edit more details of a department/position mapping, follow the steps below:

1. Access the Management > Course mapping (TR005) menu. 

2. In Visions, choose the Department/Position option.

3. In the list of records, select the desired department/position and click on the button.

4. On the screen that will open, expand the Mapping tab to parameterize the available options. See how to fill them out:

Competence

To add competences that are required or desirable for the position, click on the side toolbar button.

On the screen that will open, select the competence and the proficiency level. If you wish, check the Required column to set the competence as mandatory. Then, click on Save.

 
 

Course

To add courses that are required or desirable for the position, click on the side toolbar button.

On the screen that will open, select the course. If you wish, check the Required column to set the course as mandatory. Then, click on Save.

 
 

Experience

To add experiences that are required or desirable for the position, click on the side toolbar button.

On the screen that will open, select the experience and inform how long the user took to acquire it. If you wish, check the Required column to set the experience as mandatory. Then, click on Save.

 
 

Educational level

To add an education level that is required or desirable for the position, click on the button to search the database or on the button to create a new level in the Required section or in the Desirable section.

On the screen that will open, select the educational level. Then, click on .

In the Educational level status field, specify whether the informed qualification has been completed or not.  

 
 

Authority

To add an authority to the position, click on the side toolbar button.

On the screen that will open, search for and select the authority. Then, click on .

 
 

Responsibility

To add a responsibility to the position, click on the side toolbar button.

On the screen that will open, search for and select the responsibility. Then, click on .

 

5. To finish, click on Save and exit.

 

Mapping per process

To map courses or paths for a process, follow the steps below:

1. Access the Management > Course mapping (TR005) menu.

2. In Visions, choose the Process/Activity option.

3. In the list of records, select the desired record in the first quadrant and click on the button in the second quadrant.

4. Then, locate the course that will be mapped and, if you wish to make it mandatory, check the Required column.

5. After selecting the desired course or path, click on Save

Thus, a course or path is mapped for a process or a process activity.

To make it possible to map processes and activities, check the "Enable course control for the process" option in the Associations > Course tab of the process data screen.
