Presentation

The inquiry menus are available to facilitate record control and the visualization of registered information.

Below are the inquiries available in SoftExpert Protocol:

 

Document inquiry

Allows querying documents registered in the system.

1. Access the menu Inquiry > Document (PT008).

2. In the search filters panel, click Select type and choose the document category you want to query.

3. Click Apply.

4. Select the desired document.

5. Click the button to view the document data, the button to view the electronic file, or the button to view the electronic file signature.

When performing the inquiry, document visibility depends on the configuration defined in the general parameters of the Document component and on the permissions granted in document security and category security.

 

Advanced inquiry filters

Use the filters described below to locate the desired record(s) using specific information. To use them, go to the Search Filters panel and click the button to add filters.

Favorites

Select the option Only favorites to display only records marked as favorites.

Attributes

Click Add attribute and select the attribute associated with the document you want to query, as well as the operator and attribute value.

Document

Use the fields in this filter to locate the desired document by its identifier and/or title/summary.

Document – Advanced

  • Document status: expand the list and select the status in which the document is currently located. Depending on configuration, some statuses may already be selected and can be deselected.
  • Author: enter the name of the document author.
  • File name: enter the name of the document’s electronic file.
  • Registration user: select the user responsible for the document.
  • Post: select the post responsible for document copies.
  • Access control: use information from the document security list to locate the document. Select the desired permissions and choose the user, role, department, and team included in the security list.
  • Document period: in the Last __ days field, enter the number of days prior to the last document revision date. You may also use the Start and End fields to define a date range.
  • Registration period: in the Last __ days field, enter the number of days prior to the current date that covers the document registration date. You may also use the Start and End fields.
  • Validity: in the Next __ days field, enter the number of days after the current date that covers the document validity date. You may also use the Start and End fields.
  • Validity status: expand the list and select the options corresponding to the document’s validity status.
  • Digital signature: expand the list and select whether you want to display signed or unsigned documents.
  • Structure: in the Where used field, select a document of which the queried document is part of the structure. In the Composed of field, select a document that is part of the structure of the queried document.

Keyword

In the displayed field, type a keyword related to the document you want to query and press Enter.

Project

Select a project from the Project component related to the document. You may also enter the project identifier and/or name.

Activity

Enter the identifier and/or name of a project activity from the Project component related to the document.

Standalone Activity

Enter the identifier and/or name of a standalone activity from the Activity Control component related to the document.

Workflow

Enter the identifier and/or title of a workflow from the Workflow component related to the document.

Physical Archive

  • Filing status: select whether the document has been filed or not.
  • Filing stage: enabled only if Filed is selected in Filing status. Select the stage: current, intermediate, media recording, or final disposition.
  • Final disposition: enabled only if Final disposition is selected in Filing stage. Select whether the final disposition defined in the retention schedule is permanent retention or disposal.
  • Status: expand the list and select the options corresponding to the document status in service requests: loaned, in progress, available, or disposed.
  • Physical path: enabled only if Filed is selected. Select the repository where the document is filed. Only document repositories will be displayed. If the option “Restrict physical archive department” is enabled in general parameters, only repositories linked to the logged-in user’s department will be shown.
  • Filed by: enabled only if Filed is selected. Select the user who filed the document.
  • Filing period: enabled only if Filed is selected. In the Last __ days field, enter the number of days prior to the current date that covers the filing date, or use Start and End to define a range.
  • Retention period: enabled only if Final disposition is not selected. In the Last __ days field, enter the number of days prior to the current date that covers the retention period, or use Start and End to define a range.
 
 

 

Protocol inquiry

Allows querying all protocols registered in the system, regardless of deadline or current status.

1. Access the menu Inquiry > Protocol (PT009).

2. In the search filters panel, fill in the filters to locate specific protocols.

3. Click SEARCH.

4. Select the desired protocol and click the button to view its data, or the button to track the protocol routing in graphical format.

If, in the general parameters of the Document component, the option “Allow listing records for which the user does not have permission in inquiry” is not enabled, only protocols for which the logged-in user has the “View” control will be displayed.

 

Advanced inquiry filters

Use the filters described below to locate the desired record(s). To use them, go to the Search Filters panel and click the button to add filters.

Favorites

Select the option Only favorites to display only protocols marked as favorites.

Protocol

  • Identifier: enter the identifier of the protocol.
  • Interested party: select the user interested in the protocol.
  • Subject: enter the protocol subject.
  • Dispatch: enter the information recorded in the Dispatch field when the protocol was dispatched.
  • Dispatch status: expand the list and select the option indicating whether the protocol routing is on time or overdue.
  • Status: expand the list and select the current protocol status.
  • Protocol support: expand the list and select the support configured in the protocol type: electronic or physical.
  • Started by: select the user who started the protocol routing.
  • Closed by: select the user who closed the protocol routing.
  • Send date: in the Last __ days field, enter the number of days prior to the current date that covers the dispatch date, or use Start and End to define a range.

Document

Use the fields in this filter to locate the desired protocol through its related document. Select the document category or enter its identifier, title/summary, and/or author. When selecting Display sublevel records, subcategories in the hierarchy will also be included.

Attributes

Click Add attribute and select the attribute, operator, and value associated with the protocol type. To add more attributes, use Add attribute at the bottom of the panel and repeat the process. Click Apply after adding the desired attributes.

 
 

 

Task inquiry

Allows querying tasks of SoftExpert Protocol users. This inquiry enables, for example, managers to verify whether their team members are completing tasks within the defined deadline.

1. Access the menu Inquiry > Tasks (PT010).

2. In the search filters panel, click Select a task type.

3. In the section that opens, fill in the filters with the task data you want to query and click SEARCH.

4. Select or deselect the task types you want to query and click Apply.

5. The tasks of the selected types will be displayed in the results list.

6. Select the desired task and click the button to view its data.
