How to work with sub-tasks

 

Prerequisites

  • Access to the Management > Workspace (KN009) menu.
  • Access to the Board and backlog (KN008) menu.

 

Introduction

Sub-tasks are important for when a main task needs to be split into other smaller ones, which can then be assigned to different users working towards the same goal.

 

Associating task type and flowchart

Before creating sub-tasks, you must have a task type associated with a flow in the workspace in which you want to create them. That is, this operation defines the flow of the sub-tasks in the workspace in which they will be created.

To do so, take the following steps:

1. Access the Management > Workspace (KN009) menu.

2. Select the workspace and click on .

3. Click on the Task flow option.

4. Click on the button to define a task flow.

5. In the Task type field, click on to select a task type already created. If you prefer, click on the button, create a new task type, and associate it with the flow. 

How to create a task type

You will be able to perform this operation only if you have access to the Configuration > Task type (KN005) menu.

Take the following steps to create a task type:

1. Click on the button.

2. On the screen that will open, select an icon to represent the task type.

3. Give the task type a name.

4. Click on .

 

6. Click on the button to select an existing flowchart. If you want, click on the button to create a new flow and associate it with the task type in the workspace. See the details of this inclusion in the Defining a flowchart article.

7. Enable the Tasks of this type are sub-tasks option.

8. Click on Save.

 

Creating a sub-task

A sub-task can be created from the Board screen or from the Management > Workspace (KN009) menu. Regardless of the menu, there is no difference in the sub-task creation process.

To create a sub-task, take the following steps:

1. Access the Board screen from the Vision section of the Board and backlog (KN008) menu.

2. Select the workspace for whose tasks you want to create sub-tasks.

3. Then, click on the ID # of a task (A) to open its data.

4. Now, click on the Sub-tasks option (B).

5. Click on Create (C).

6. On the screen that will open, enter the task title, priority, assignee, and other desired information. For a detailed description of the fields that may be displayed, refer to the Creating tasks via backlog article.

7. When you are done, click on Save. The task will be displayed on the board as a sub-task of the main task, as shown in the image below.

Sub-tasks are edited and executed just as main tasks are.

The main task can only be finished when all of its sub-tasks are finished as well.
