AI chat to add records

Adding records through the Cost (PM013), Critical success factor (PM014), Information warehouse (PM016), and Material warehouse (PM017) menus has become much easier! 

With the new Creation with AI option, just write what you want with simple phrases, and the system builds a process design automatically.

Check out the main features:

  • Type what you want in a text field, as if it was a conversation.
  • Choose among the suggestions the system will present.
  • The system generates the process design automatically, without the need to know complex rules.

In the Process (PM063) menu, this resource is available with the Using AI option.

Contract management via workflow-automated process

Managing contracts has become much simpler!

Now, within the Process and Workflow modules, it is possible to use the new Generate electronic file with variables option in order to create documents automatically and securely.

Check out the main features:

  • Use a template document in Word and have the system insert the data automatically.
  • Easily correct any information that is not right.
  • Add an electronic signature and watermark to a contract, if necessary.
  • Store contracts automatically in Workflow, in Document, or in forms.

The new feature allows the whole contract management to be carried out in a single place, making the process faster and less prone to errors.

In version 3.0, the system keeps moving forward when it comes to standardizing data management. 

The following menus have been removed from SoftExpert Process and are now centralized in SoftExpert Administration:  

  • Team (PM004)
  • Template (PM008)
  • Characteristic type (PM051)
  • Characteristic (PM054)
  • Symbol (PM053)
  • Reason (PM049)
  • Checklist (PM005)
  • Resource (PM010)
  • Attribute (PM003)
  • Information type (PM037) 
  • Information (PM011)

This centralization makes for a simpler and more efficient user experience, allowing data maintenance to be carried out in a single place. 

The result is greater consistency among the modules, as well as greater agility for those who manage or use this information in the system. 

 

New features in the Process unified menu

With menus centralized in SoftExpert Administration, the options of managing and viewing revalidations and revisions have been migrated to the Process (PM063) unified menu.

Therefore, the ManagementRevalidation (PM059)ViewRevalidation (PM060), and ManagementRevision (PM047) menus will be automatically hidden when the user accesses the new unified screen.

The revalidation and revision actions continue to follow the permission profile defined for the process type, ensuring consistency in access control.

 

New intelligent resources

Version 3.0 brings new intelligent resources to the Material type (PM038) menu.

It still has the same visual component, but with additional features that make for a more convenient and intelligent experience.

Now, it is possible to import records directly into the menu, which expedites data management, and to use the Ask AI feature, which uses artificial intelligence to aid in the creation of records, with consistent and standardized information.

These improvements enable a more efficient record maintenance, reducing the time spent on manual activities and increasing user productivity.

The "Ask AI" feature will only be available to organizations that are Cloud customers and have SoftExpert Copilot.

New main screen

SoftExpert Suite version 3.0 brings a modern and standardized interface to the Cost (PM013) menu.

With optimized filters and a new functional listing, it is much easier to view, locate, and manage records. Now, it is possible to create items from scratch, import templates, or use the "Ask AI" feature.

Process mining integrated with SoftExpert Process

Now, the Process and Workflow components are fully integrated with the process mining solution, enabling automated, real-time analyses concerning the execution of business processes.

Based on operational data, the process mining method provides a detailed view of the performance and actual flow of the activities, supporting the identification of bottlenecks, deviations, and opportunities for improvement to optimize organizational efficiency.

Electronic signature in attachment-type requirements

Now, it is possible to electronically sign files attached to processes automated via workflow.

Previously, only files linked to a document could be signed. With this improvement, any file attached to a workflow can be sent for signature, which expands the automation and control possibilities within process flows.

See the general rules for this new feature:

  • Only files in PDF format can be sent for signature.
  • Supported signing tools: DocuSign, ClickSign, SoftExpert, D4Sign, SignOn, BRy, OneSpan, Lacuna.
  • To view a signature, open the workflow data screen, access the Attachment option, and check the Digital signature column.

Configuring this option is very simple:

  1. In the process, create a requirement of the Attachment type.
  2. In the system activity of the Electronic signature type, select the configured requirement.
  3. When executing the workflow, associate the file with the requirement. It will be automatically sent for signature.

 

Automate the completion of fields with data relationship

The Relate data resource has been developed to optimize users' work, automating the insertion of values during the creation of objects. This eliminates the need to copy, paste, or enter data manually, which makes the process more agile and efficient.

With a simple configuration, the user can select the source of the information that will be automatically inserted in the fields of the object to be created. Available sources include:

  • Form fields
  • Attributes
  • Fixed values
  • Process instance data

Thus, whenever an object is created, its fields will be automatically filled in according to the defined configuration. This ensures greater agility, standardization, and less rework for the team, making processes more efficient, consistent, and reliable.

 

Task center

The Task center is an evolution of the old My tasks menu, now with a more modern and efficient proposal. 

Previously, the user needed to access different screens in order to execute activities such as revisions, revalidations, etc. 

With the new Center, all tasks are gathered in a single optimized environment, which allows for a more fluid and centralized navigation. 

This redesign brings about greater convenience to the day-to-day routine, as it allows for viewing, filtering, and executing tasks of different types in a single place.

Turtle diagram menu removed

The Turtle diagram (PM050) menu has been discontinued in SoftExpert Process.

Starting in this version, the diagram can be configured in the Turtle diagram tab of the General parameters (PM009) menu in the Process module.

This change centralizes management and makes for simpler and more efficient maintenance.

 

Security validation when saving fields

SoftExpert Process version 3.0 introduces a new security validation that ensures greater control over data saved in forms.

Now, the system checks the backend for the fields and relationships that are configured as editable in each process activity, allowing only authorized information to be saved.

With this validation, fields that are disabled or not allowed no longer can be edited, not even through manipulations in the browser, which strengthens data integrity and compliance with information security standards, such as ISO 27001.

Security logs are generated whenever there is an attempt to change fields that are not allowed, facilitating auditing and monitoring in the system.
