Set initial configurations
Before creating an initiative, some configurations must be already set.
In this topic, we will teach you how to do that.
To this end, simply follow the steps below:
1st step: Create a variable
Variables will compose the financial table of an initiative. Using the variables of the financial table, it is possible to perform simulations referring to the feasibility of the initiative.
To create a variable, access the PF003 menu and click on the button.
On the screen that will open, enter "Cost" for ID #, and "Estimated cost (R$)" for name.
After doing that, click on the button.
In the next step, this variable will be associated with a financial table.
2nd step: Create a financial table
With the variable added, we can create a financial table.
The financial table is where the equations for calculating the variables will be stored in order to be used to simulate the feasibility of the initiative.
To do that, access the PF004 menu and click on the button.
On the screen that will open, enter "STD" for ID #. If you prefer to generate a sequential ID #, click on the arrow next to the field.
Fill in the Name field with "Standard".
After doing that, click on the button.
In the Financial data tab, click on the button, found on the side toolbar.
On the screen that will open, find and select the variable created in the previous step. In this case, that with "Cost" as the ID #, and "Estimated cost (R$)" as the name.
Fill in the fields on the screen as well, as shown below:
- Sequence: 1.
- # of decimal places: 5.
After doing that, click on the button. Now, the variable is duly associated with the financial table.
3rd step: Create a responsible team
A responsible team is a group of users that may belong to different departments or have different positions. There must be a responsible team to execute the initiative when it is approved.
To create a responsible team, access the PF016 menu and click on the button.
On the screen that will open, enter "Portfolio" for the ID #, and "Initiative execution team" for the name.
After doing that, click on the button.
Then, go to the Member tab and click on the button to define the members of the initiative execution team.
In this case, add only your user as team member. To do that, in the Control field, select "User", and next to it, in the User field, type your user's name.
On the lower part of the screen, select your user and click on the button.
Repeat this step to associate all desired members.
4th step: Create an evaluation method
In order for initiatives to be evaluated, it is necessary to create an evaluation method.
To create an evaluation method, access the PF024 menu and click on the button.
On the screen that will open, enter "EM" for the ID #, and "Evaluation method" for the name.
After doing that, click on the button.
Now, in the Quantitative > Criterion tab, click on the button to add the criteria of the evaluation method.
On the screen that will open, enter "Contribution" for the ID #, "Contribution to results" for the name, and in the Weight field, type the number "30".
Click on the button.
In the Options tab, click on the button to add the options that the evaluation criterion will have.
On the screen that will open, enter "Initiative aids in problem solving" as the name, and "80" as the value for the option.
Click on the button.
Again in the Options tab, click on the button to add another option.
On the screen that will open, enter "Initiative reinforces institutional role" as the name, and "60" as the value for the option.
Click on the button, and then on the button again.
Now, in the Quantitative > Operation tab, define how the criteria that you have just associated will be calculated.
In this case, select the Add option.
In the Result tab, add all possible results that can be associated with the initiative during the evaluation.
To do that, click on the button and create the following results:
- Name: High priority. Lower limit: 1,500.00. Color: Green.
- Name: Medium priority. Lower limit: 1,000.00. Color: Yellow.
- Name: Low priority. Lower limit: 500.00. Color: Red.
From the evaluation method data screen, click on the button.
