View current and obsolete versions of a document
This topic will teach you two ways of viewing the current and obsolete versions of a document:
- Viewing revisions through the Document view menu (DC021);
- Viewing revisions through the Revision view menu (DC022).
For this topic, we will use the document created in the Create a document with revision control topic, which has gone through two revisions, if you have executed the examples of this quick guide in the order they are displayed.
Viewing revisions through the Document view menu (DC021)
Perform the following steps:
Access the View > Document menu.
On the search filter panel, click on the button and select the Document filter.
Fill out the Title/Summary field with "Work instruction" and click on Search.
Select the document in the list of records.
Click on the toolbar button.

At this point, the document data screen will be opened in the current revision (last performed and released revision). If you wish to view the electronic file with docvariables filled out, from the Use docvariables topic, click on the Electronic file option on the toolbar. You can view the file through the preview panel or the button.

Click on the Revision option and on the Revisions tab. All revisions that the document has gone through will be displayed. The obsolete revision can be identified by the icon on the RS column.
Select the obsolete revision and click on the button to view its data.

All done! You have viewed the current and obsolete revisions of the document.
Viewing revisions through the Revision view menu (DC022)
Perform the following steps:
To do that, access the View > Revision menu.
On the search filter panel, click on the button and select the Document filter.
Fill out the Title/Summary field with "Work instruction" and click on Search.
Note that two records will be displayed in the listing. The obsolete revision can be identified by the icon on the RS column.
Select it and click on the button on the toolbar.
Confirm the request made by the system.

At this point, the document data screen will display the data of that revision. Close the data screen.
Now, select the current revision in the list of records.
Click on the button again. At this point, the document data screen will display the data of the current revision.
Close the data screen. All done! You have viewed the current revision of the document.
To view the electronic file data with the docvariables filled out, without accessing the data screen, with the document selected, click on the button and select the View electronic file option.
Wait for the file to load and done!
