Executing tasks
Prerequisites
- Access to the Execution > Task execution (PR017) menu.
- Tasks added to the project structure.
- Project with finished planning/approval.
Introduction
Project tasks are executed by the users and teams responsible for them, which ensures that the defined planning is fulfilled and the progress of the assigned tasks is recorded.
In order for a user defined as project resource to execute a task, the "Allow the allocated resources to perform tasks" option must be enabled on their data screen. This way, the designated members will also be able to record their executions.
Moreover, the tasks are made available for execution only after planning is finished, or after the project is approved, which ensures that all definitions are completed before the actions start.
This article will demonstrate how to access and execute tasks in the system, using the tasks of the product development project created as an example during the flow.

Executing tasks simultaneously
1. Access the Execution > Task execution (PR017) menu.
2. Select multiple tasks from the list of records.
3. Click on the task bar button.
4. In the Start field, enter the start date of the task.
- It is of paramount importance that this date is true so that the project to which the tasks belong can be subjected to studies of variations and deviations from planning.
- If the "Allow entering retroactive dates in the execution of tasks" option is checked in the general parameters, a date prior to the current one can be inserted. Otherwise, the system will not allow for entering a date prior to the current date.
- The system does not allow for entering a start date later than the current one.
5. In the Actual % field, enter the completion percentage of the task up until the current moment.
- The system only considers a task as started when an execution percentage between 1 and 99 is inserted because, when a task is saved with 0%, its status is not changed, and when 100% is inserted, the task is considered as closed.
- If the "Allow entering retroactive percentages in the execution of tasks" option is checked in the general parameters, as the task moves forward, its executors can change the percentage inserted in this field to a lower one.
6. Save the record. The status of the task will be updated to "Execution".
7. When the execution of the tasks is finished, fill in the End field with the actual date when the execution of the tasks ended. When the End field is filled in, the Actual % field will be completed by the system with the value "100%".
Note that the system does not allow for entering a date later than the current one.
8. Save the record and click on OK in the message that will be displayed by the system. The tasks will be sent to one of the following steps:
- Task verification: if the "Verify task" option was checked when the tasks were added, they will be sent to the responsible party for verification.
- Execution approval: if the "Execution approval" option has been checked in the task type, the approval to-do task will be generated so that the responsible parties approve the task.
- Closure: if the tasks do not have the verification or approval step configured, they will be closed.

- This operation can also be performed through the Task execution to-do task.
- It is possible to use the CTRL and SHIFT keys to select multiple tasks from the list of records.
