Managing employee profiles
Prerequisites
- Access to the Management > Employee profile (AD006) menu.
- Registered user.
Introduction
SoftExpert Suite has a menu that allows for managing the profile of the users registered in the system.
This tool aids in the management of human resources and organizational strategies, as it gathers the knowledge, skills, competences, and experiences of each employee of the organization.
Tools available in the employee profile
• Employees can access their own profiles for viewing purposes. This is done through the Profile option in the user panel.
• Several profile configurations are performed via other components (Performance, Action plan, Training, etc.); thus, they will only be available if the solutions have been acquired by your organization.

Career and succession
This section presents the elements that make up the career and succession evaluation, which are used for the employee's succession analysis: performance, potential, promotability, risk of loss, impact of the loss, and reason for leaving.
When an evaluation item is selected, the results of the evaluations through which the employee has gone are displayed.
To view the data and analyze the results, select an evaluation and click on the button.
Items that have not been configured in the evaluations for the employee, in the SoftExpert Competence component, will not be available for viewing.
Position requirements
In this section, it is possible to manage the requirements mapped for the position held by the employee and check whether the employee meets them.

Feedback
In this section, the employee can send or request feedback, as well as view sent and received feedback. Remember that feedback can also be provided through the Tools > Feedback menu.
All actions performed in the feedback panel, such as provided or requested feedback, as well as comments, will generate alerts in SoftExpert Suite so that the user of interest can view them.

Indicator
This section displays the indicators with which the employee has been associated as responsible through SoftExpert Performance.
Double click on the desired indicator to view its details.

Goal
This section presents all the goals defined for the user through the goal plans created in SoftExpert Competence.
Refer to the specific documentation on the Competence component for more details about creating goal plans.
Development plan
In this section, it is possible to track the individual development plans (IDPs) created for the employee through SoftExpert Competence, add new IDPs, and make the necessary adjustments.
Action plans will be presented in the form of cards at the bottom of this section. When you hover over the action plan card, the following options will be displayed.
Send to next step | This button will only be displayed if the action plan status is Planning and if said plan has actions in its structure. After clicking on this option, confirm the request made by the system to send the action plan to the next configured step: planning approval or execution. |
Action plan report | Click on this button to generate and view the report of the selected action plan. |
Action plan data | Click on this button to access the action plan data screen. If the plan status is not Closed and the logged user is responsible for the action plan or for the step in which it is found, it will be possible to edit its data and structure. The information enabled for editing may also vary according to the step in which the action plan is found. Refer to the SoftExpert Action plan specific documentation for further details about the data screen and structure of an action plan. |
Delete | Click on this button to delete the action plan associated with the employee profile. |
When you click on the card of an action plan, its structure will be expanded, displaying the actions that compose it. When you hover the mouse over the card of a plan action, the button will be displayed, allowing for access to the action data screen.
If the action plan is in the Planning step and the logged user is responsible for the action plan or for the step in which it is found, it will be possible to edit the data of the selected action.
For other statuses, the data will only be available for viewing only and may vary according to the step in which the plan and the action are found.

Training
This tab is divided into three subsections:
Training
Through this section, it is possible to track and manage the trainings in which the employee has participated or is participating. Trainings are created and executed via SoftExpert Training.
On the side toolbar, the following buttons are available:
If the training has expired, its date will be shown in red in the "Validity" column.
Extracurricular
In this section, it is possible to add and view the courses that have been taken by the employee outside the organization or that have not been controlled through the Training component.
1. In the Training tab of the Employee profile, select the Extracurricular subsection.
2. Click on the button.
3. On the screen that will open, enter the Name of the course taken.
4. Select the Course and the Educational entity that has held it.
5. Click on the button.
After saving the extracurricular training record for the first time, you can complement its information, if necessary. In order to do that, use the following fields:
General
Training method | Select the training method used in the course. Use the other buttons next to the field to view the data of the selected training method data and to clear the field. Refer to the specific documentation on the Training component for more information. |
Period | Enter the start and end dates, as well as the course workload. |
Validity | If the course has a validity, select the date until which it is valid in the Expiration date field. |
Evaluation | Enter the Score achieved and the Attendance of the employee in the course. |
Competence
Use this section to associate the competences that will be developed with the conduction of the course. On the side toolbar, the following buttons are available:
Click on this button to associate a competence with the course. | |
Click on this button to disassociate the competence selected in the list of records. | |
Click on this button to view the data screen of the competence selected in the list of records. Refer to the documentation on the Competence component for a detailed description of the screen that will open. |
Evaluation item
Use this section to associate the evaluation items related to the course. On the side toolbar, the following buttons are available:
Click on this button to associate an evaluation item with the course. | |
Click on this button to disassociate the evaluation item selected in the list of records. | |
Click on this button to view the data screen of the evaluation item selected in the list of records. Refer to the documentation on the Competence component for a detailed description of the screen that will open. |
• Extracurricular courses must be created through the Training component, and their use must be defined as "employee profile".
• From the Attachment tab, it is possible to include additional documentation related to the extracurricular course. For more details on how to add attachments, click here.
Path
In this section, it is possible to track and manage the knowledge paths in which the employee has participated or is participating. The paths are created and executed via SoftExpert Training.
Click on the button from the side toolbar to view the employee's progress on the path selected in the list of records.
Academic background
Use this section to record the educational levels sourced from the employee's academic background.
1. Click on the button.
2. Select the Educational level that composes the employee's academic background.
3. Select the Educational entity where the employee has acquired their educational level.
4. Select the Course offered by the educational entity that the employee has attended.
5. In the Period field, enter the Start date and the End date of the course taken by the employee.
7. Click on the button.
• From the Attachment tab, it is possible to include additional documentation related to the academic background. For more details on how to add attachments, click here.
• After saving the record, the system will ask for confirmation to make the added education level the employee's current education level. If that is confirmed, the system will update the Educational level field in the General data section.
Work history
In this section, it is possible to add the companies at which the employee has worked, along with their previous roles, in order to keep a history of their professional training.
1. Click on the button.
2. Enter the Company at which the employee has worked.
3. Enter the Department to which the employee belonged at the previous company.
4. Enter the Position held in the previously selected department.
5. Enter the Start and End date comprehending the employee's time working at that company.
6. Click on the button.
Training given
In this section, it is possible to track the trainings in which the employee was the instructor.
Use the button to view the data of a training selected in the list of records.
