Configuring the responsibility route

Introduction

The responsibility route is the flow of users who will be responsible for approving determined steps in the records of a category or type.

In addition to responsible parties, it is possible to define deadlines for the approval execution.

Example of an approval responsibility flow

In SoftExpert Action plan, for example, a leader can create an action plan for their team. To keep control of deliveries, it can be configured in the plan category that all actions will be approved by the leader. Thus, when evaluating the plan effectiveness, in addition to the end result, they will know the weight of the execution of each action.

Configuring a responsibility route

Watch the video below to learn how to configure the responsibility route in an easy way:

Details of the Approval type field

Incremental Once a responsible party rejects the record, it returns to the step before its current step.
Circular The record will go through all the responsible parties in the route, but the approval will be performed by the last sequence. When choosing this approval type, the system will not allow the last sequence to have more than one responsible party. Consequently, if the route contains only one sequence, it may only have 1 responsible party. If the last sequence was configured with a department, position, or team, the member of the department/position/team who executes it first will approve or reject it for the other members. Then, make sure the department, position, or team is the most appropriate responsible party to approve the route.

As mentioned in the video, it is possible to add a checklist for each responsible party in the route. Thus, in the approval task, the responsible user will have the questions as a guide to check everything in the record.

Refer to the Creating a checklist article to learn how to create one.

Conclusion

The responsibility route is now ready to be associated with the approval configuration!

Simply select it in the field of the category or type in which the approval is being configured.
