Configuring a copy distribution template
Prerequisite
- Access to the Configuration > Copy distribution > Template (DC064) menu.
Introduction
The Template (DC064) menu allows for configuring document copy distribution templates, which facilitates a standardized protocol issuance. These templates can be applied directly at the moment of issuing copy protocols, through the Distribution (DC012) menu, which speeds up the process and reduces rework. Thus, copy distribution becomes quicker, more consistent, and aligned with the organization's needs.
Creating a distribution template
1. Access the Configuration > Copy distribution > Template (DC064) menu.
2. Click on the toolbar button.
3. Enter an ID # and a name for the copy distribution template.
4. In the Control team field, select the team that will be allowed to edit the data of the protocols created with this template.
5. In the Type field, define whether the template copies will be distributed by a copy station, a department, or a user.
6. Select the copy station, department, or user in the field that is enabled in accordance with the type selected in the previous step.
If a copy station is selected, the Responsible field will be filled in with the party responsible for the copy station.
7. Click on Save to enable the Documents tab.
8. In the Documents tab, click on the button.
9. Search for and select the documents from SoftExpert Document that will be added to the protocols created with this template.
10. In the # of copies section, provide the following information:
- # of copies: specify how many copies of the selected documents will be distributed.
- Check-in deadline: define whether the deadline for returning the copies will be after a specific number of days, or until the next revision of the documents.
- # of days: if the selected check-in deadline is set in days, enter the number of days.
11. Click on the button on the association screen, and on Save and exit in the main record.

Conclusion
Now that the template is duly created, it can be used to issue a new copy distribution. To this end, simply access the Management > Copy > Distribution (DC012) menu, expand the button, and select the Add from template option.
