SoftExpert Suite widgets

 

Prerequisites

  • Access to the Portals menu.
  • “Edit” permission enabled for the portal.

 

Introduction

Widgets display information and allow users to interact with the records shown.

They can be component-specific or be predefined by the system.

Detailed description of component-specific widgets is found in their corresponding categories, available in the Help center.

SoftExpert Suite widgets

Last accessed

This widget lists the last pages the user has accessed in the system. No configuration is required to use it in a portal.

 
 

Birthdays

This widget lists the users whose birthdays are celebrated that week or month. When dragging this element to the portal, you will need to configure which employees will be displayed in the widget. In the configuration panel, set a title and then configure the options:

Display birthdays
  • Of the week: Check this option to list the birthdays of the week.
  • Of the month: Check this option to list the birthdays of the month.
Filter by
  • All departments: Check this option to list birthdays from all departments.
  • Only from my department: Check this option to list birthdays only from the logged user's department.
  • From a specific department: Check this option to list birthdays from a specific department. 
  • On the logged user's birthday, the following message will be displayed: "Today is your day, happy birthday!".
  • The user's birth date must be correctly provided on the Employee profile screen, located in Administration > Management > Employee profile (AD006).
 
 
 

My team activities

This widget allows leaders to track their team's activities. When dragging this element to the portal, configure the tasks that will be listed and how they can be viewed:

Which tasks will be displayed?
Tasks of all SE Suite All tasks (from any component) of your subordinates will be displayed.
Tasks of a specific component The tasks of your subordinates from certain components will be displayed. As soon as this option is checked, a field will be displayed for the selection of one or more components.
How will tasks be viewed? Option checked Option unchecked
Open in a new tab A new tab displaying the subordinate's tasks will open. A new tab displaying the subordinate's tasks will not open.
Display inactive users Inactive users, that is, employees who are no longer part of the organization, will be listed in this widget. Only employees active in the system and under your leadership will be displayed.

The widget provides a clear overview of the tasks assigned to your subordinates.

The first column shows the employees under your leadership, and the subsequent columns show the number of tasks with different statuses.

When you select a task assigned to a user, the widget will update to display the tasks for that user in particular.

To return to the list of your employees, simply click on the "Back" button. This feature facilitates browsing and managing tasks efficiently within the platform.

This widget filters tasks by subordinate. It has no association with the e-mail task notification, as the latter only displays what is currently under execution.

 
 
 

Notepad

This widget displays informative notes in the portal. Upon dragging a notepad to the portal, provide a title and its contents.

 
 

Full text search

This widget allows for running a general search in the system. Upon dragging this element to the portal, indicate whether the search will be performed in all system components or in a specific component.

If the search is configured to be done in a specific component, the widget will display its name and title.

 
 
 

Service catalog

This widget gathers the main SoftExpert Suite resources for users to easily start workflows and request previously configured services more easily.

The service catalog is a gateway for basic and advanced users, making demand management more effective. It allows services from multiple components to be brought together and grouped into a single, clean interface through portal widgets.

Saved searches

This widget allows listing the searches saved in the system. Configure this element after dragging it to the portal.

In the configuration panel, enter the title for the widget and then choose which saved searches will be displayed:

  • All: Check this option to display all saved searches. Searches must be saved in public mode in order to be displayed; otherwise, only their authors will be able to access them.
  • By component: Check this option to display only the saved searches of certain components. Searches must be saved in public mode in order to be displayed; otherwise, only their authors will be able to access them.
  • Specific: Check this option to display only selected searches. Searches must be saved in public mode in order to be displayed; otherwise, only their authors will be able to access them.
  • My searches: Check this option to display all searches saved by your user. 
  • Public: Check this option to display all searches saved in public mode.
  • Private searches can only be accessed by their authors. For a saved search to be accessed by any portal user, make sure to set it as public.
  • If the widget is configured with the "All", "Per component", "Specific", and "Public" options, the saved searches in components to which the logged user does not have access permission will not be displayed.
 
 
 

Favorites

This widget lists your favorite records. 

After dragging this element to the portal, choose which favorite records will be displayed: from all components or from a specific one. 

If the favorite records are from a specific component, the widget will display its name and title.

 
 
 

Menu options

This widget lists certain system menus. Configure this element after dragging it to the portal. In the configuration panel, set a title and then choose the display format and the menus:

  • Display in the format of: Select whether the menus will be displayed as a grid or a list.
  • Open in a new tab: Check this option so that the menus of this widget are displayed in a new tab. If this option is unchecked, when accessing a menu of this widget, the portal screen will be reloaded, and the menu will be displayed.
  • Screen: Use the menu name or code to locate it. As soon as the menu is selected, click on "Add". At this point, a new "Screen" field will be displayed for new menus to be added to the widget. Repeat this procedure until all desired menus are configured.

When configuring menus, use the code of the desired one to find it more easily.

 
 
 

Kanban

This widget lists tasks using the Kanban method.

After dragging this element to the portal, define a title for the widget, the control period, and the components whose activities will be displayed in the Kanban. It will also be possible to configure which users must be displayed in the panel.

To see activities from all users, check the I wish to see the activities of all users in the panel option.

 
 

External links

This widget displays external links as cards. Configure this element after dragging it to the portal. In the configuration panel, define a title for the widget and then configure the display format and the URL of each link:

  • Display in the format of: Select whether the links will be displayed as a grid or a list.
  • Title/URL: Enter a title for the link and its URL next to it. As soon as the fields are filled in, click on "Add". At this point, a new line will be displayed with the Title and URL fields for new links to be added to the widget. Repeat this procedure until all desired links are configured.
 
 

Portal list

This widget lists system portals. Configure this element after dragging it to the portal. In the configuration panel, define a title for the widget and then choose the display format and the portals/tabs to be shown:

Display in the format of: Select whether the portals will be displayed as a grid or a list.

Portal/Tab: Select the portal and the tab that will be displayed in the widget. When accessing the portal through the widget, the element will be displayed in the configured tab. As soon as the fields are filled in, click on "Add". At this point, a new line will be displayed with the Portal and Tab fields for new portals to be added to the widget. Repeat this procedure until all desired portals are configured.

 
 

Stage gate

This widget graphically displays the life cycle of certain system records. To use this widget, set a name for it, define the matrix lanes, and map the status of the objects to be displayed in each lane. It is possible to define the audit (SoftExpert Audit) and item revision (SoftExpert PDM) statuses.

To add new lanes, click on the Add lane button. Define the name to be displayed in each lane. If it is necessary to remove a lane, use the Delete option below the its title field.

 
 

My tasks

This widget lists the logged user's tasks. After dragging this element to the portal, choose which tasks will be listed and how they can be viewed:

Which tasks will be displayed?
Tasks of all SE Suite Check this option to display all of your tasks (any component).
Tasks of a specific component Check this option to display the tasks of specific components. Once this option is checked, a field will be displayed to allow for the selection of other components.
How will tasks be viewed? Option checked Option unchecked
Open in a new tab A new tab displaying the execution or tracking screen for the accessed task will open. A new tab displaying the execution or tracking screen for the accessed task will not open.

This widget allows displaying the execution or tracking tasks of a certain status (past due, close to due date or on time).

 
 

Web page

This widget displays the content of a web page directly on the portal. After dragging this element to the portal, enter a title, as well as a URL (that uses the HTTPS protocol), and the number of minutes for the system to reload (refresh) the page.
