Contract management via workflow
Managing contracts has become much simpler!
Now, within the Process and Workflow modules, it is possible to use the new Generate electronic file with variables option in order to create documents automatically and securely.
Check out the main features:
- Use a template document in Word and have the system insert the data automatically.
- Easily correct any information that is not right.
- Add an electronic signature and watermark to a contract, if necessary.
- Store contracts automatically in Workflow, in Document, or in forms.
The new feature allows the whole contract management to be carried out in a single place, making the process faster and less prone to errors.
Available in the SoftExpert cloud platform for the Process, Workflow, and/or Document modules.
Menu centralization
In version 3.0, the system keeps moving forward when it comes to standardizing data management.
The Team (WF021) and Object (WF009) menus have been removed from SoftExpert Workflow and are now centralized in SoftExpert Administration.
This centralization makes for a simpler and more efficient user experience, allowing data maintenance to be carried out in a single place.
The result is greater consistency among the modules, as well as greater agility for those who manage or use this information in the system.
Electronic signature in attachment-type requirements
Now, it is possible to electronically sign files attached to processes automated via workflow.
Previously, only files linked to a document could be signed. With this improvement, any file attached to a workflow can be sent for signature, which expands the automation and control possibilities within process flows.
See the general rules for this new feature:
- Only files in PDF format can be sent for signature.
- Supported signing tools: DocuSign, ClickSign, SoftExpert, D4Sign, SignOn, BRy, OneSpan, Lacuna.
- To view a signature, open the workflow data screen, access the Attachment option, and check the Digital signature column.
Configuring this option is very simple:
- In the process, create a requirement of the Attachment type.
- In the system activity of the Electronic signature type, select the configured requirement.
- When executing the workflow, associate the file with the requirement. It will be automatically sent for signature.


New analysis tool layout
Workflow's Cause analysis tool has received a totally renewed look!
This update presents a completely redesigned interface, with performance improvements and a more fuild navigation, without changing the already known features.
Check out the main improvements:
- Modern and intuitive interface: renewed, lighter, and better organized look.
- Integrated automatic saving: all information is saved automatically, avoiding data loss.
- Faster creation: the new design makes it easier to build and edit analyses.
- Structured connections: causes and categories are now connected more clearly and logically.
This update intends to enhance usability and efficiency for cause analyses, making the investigation process simpler, as well as more visual and collaborative.
Task center
The Task center is an evolution of the old My tasks menu, now with a more modern and efficient proposal.
Previously, the user needed to access different screens in order to execute activities such as revisions, revalidations, etc.
With the new Center, all tasks are gathered in a single optimized environment, which allows for a more fluid and centralized navigation.
This redesign brings about greater convenience to the day-to-day routine, as it allows for viewing, filtering, and executing tasks of different types in a single place.

Separation of tasks executed via workflow
The tasks referring to workflows created through apps originated from SoftExpert App builder are no longer displayed in the general list of execution tasks of SoftExpert Workflow.
As of this version, these tasks are shown separately by app or menu in the Task center, which provides a better organized view.
This improvement facilitates activity management, as it allows the user to quickly identify the tasks related to each app and have a clearer control over the flows under execution.
Start workflows from the full text search
As of version 3.0, the system allows for instantiating workflows directly from the Full text search data screen.
Thus, when performing a search in the system's full text search field, the user will be presented with a card, similar to the one displayed in the Workflow (WF003) menu, which allows for starting the workflow directly from this screen.
