Configuring e-mail notifications

 

Prerequisites

  • Access to the Configuration > E-mail notification (CM022) menu.
  • E-mail to send notifications.

 

Introduction

SoftExpert Configuration provides a menu in which it is possible to enable the sending of system notifications.

In the E-mail notification (CM022) menu, an e-mail must be configured for notifications to be sent, with the possibility of scheduling when they should be sent as well.

Configuring system notifications

1. Access the Configuration > E-mail notification (CM022) menu.

2. Navigate through the available tabs and set the necessary configurations.

General

In this section, it is possible to perform general configurations referring to the system notifications.

Enable sending system e-mails: when this option is checked, the resource that sends e-mail notifications concerning SoftExpert Suite tasks is enabled. In order for this feature to work correctly, each user must have their e-mail properly registered on their data screen, in the SoftExpert Administration component.

If this option is not checked, the other options, referring to e-mail notifications related to tasks, to the system, and to system monitoring, will be disabled.

Enable e-mail sending when creating a new user: if this option is checked, when a new user is created (whether manually or via import), the system will send them an e-mail.

Keep sent e-mails history: when this option is checked, the system will store the history of the e-mails sent (successfully) by the SoftExpert Suite components. This history is tracked through the Monitoring > E-mail (CM004) menu.

The number of days for which the system must store the history must be set in the Store history for _ day(s) field.

Add comment to e-mails: fill in this field to define a text to be presented in all e-mails sent by the system. If this field is not filled in, no comments will be added to the e-mail.

 
 

Task e-mail

This option will only be available if the Enable sending system e-mails option is checked in the General section. It is split into two tabs:

My tasks

Enable the sending of this e-mail: when this option is enabled, the My tasks e-mail notification will be sent to the SoftExpert Suite users, showing the status of the tasks under the responsibility of the user who will receive it.

From the side panel, it is possible to configure the display and the items that will be highlighted in the e-mail. As the configurations are performed, it is possible to see them applied in the template shown in this tab. See the options available for configuration in the "Configuring task e-mails" topic below.

 

Subordinates' tasks

Enable the sending of this e-mail: when this option is enabled, the Subordinates' tasks e-mail notification will be sent to a concerned party, showing the status of the tasks under the responsibility of the SoftExpert Suite users.

From the side panel, it is possible to configure the display and the items that will be highlighted in the e-mail. As the configurations are performed, it is possible to see them applied in the template shown in this tab. Configuring task e-mails

View configurations
Past due The Past due column will be displayed, listing the number of tasks that have this status.
Close to due date The Close to due date column will be displayed, listing the number of tasks that have this status. 
Fill in the Consider _ day(s) before due date field to set the number of days before the execution deadline for which the tasks will be considered as close to due date.
On time The On time column will be displayed, listing the number of tasks that have this status.
Highlight
Past due A panel grouping the Past due tasks and detailing their information will be displayed.
Close to due date A panel grouping the Close to due date tasks and detailing their information will be displayed.
On time A panel grouping the tasks due Today and detailing their information will be displayed.
Concerned parties*
Notify leader of responsible user

The Subordinates' tasks e-mail will be sent to the leader of the user responsible for the task. The following fields will also be enabled:

  • Rise notification hierarchy _ level(s): enter the number of hierarchical levels, above the leader of the user responsible for the task, that will receive the e-mail.
  • Every _ day(s) of delay: enter the number of days that will compose the range in which the system will rise the hierarchy until reaching the previously configured level.

For example: Every 5 days of delay, the e-mail will be sent to 1 level above in the hierarchy, that is, once the task is 5 days past due, the manager of the leader of the user responsible for the task will receive the e-mail.

Notify a specific user

The Subordinates' tasks e-mail will be sent to a specific SoftExpert Suite user. 
In the Specific user field, type the name of the desired user and press the Enter key on the keyboard or click on their name.

To disassociate the user, hover the mouse over them and click on the Delete option.

*This section will only be available in the configuration of the Subordinates' tasks tab.

 
 

System e-mails

This option will only be available if the Enable sending system e-mails option is checked in the General section. It shows all tasks that may send e-mail notifications, grouped by the components through which they are generated. 

Check the tasks for which e-mail notifications must be sent. If you do not wish to send e-mails about a task, uncheck it.

 
 

System monitoring

This option will only be available if the Enable sending system e-mails option is checked in the General section. Use it to configure notifications sent to warn about errors or incorrect configurations in the system. 

To do so, check the Enable to send the system monitoring alert e-mails option and enter the e-mail addresses to which monitoring notifications will be sent.

 
 

E-mail server

This option redirects the user to the E-mail server (CM010) menu, in which all e-mail servers that may be used to send task notifications are registered.

 
 

Scheduling

Through this tab, it is possible to edit notification sending schedulings.

3. After setting all desired configurations, click on the button.

All done! The sending of e-mail notifications is properly configured.
