Prerequisites

  • Access to the Configuration > Maintenance > Project (PR047) menu.
  • Previously created projects.

 

Introduction

The Project (PR047) menu allows for making adjustments to projects created in the system that have not been closed yet. This resource is essential to correct, update, or complement information during the execution of a project, ensuring that its data is reflecting the reality of the operation.

By default, the list of records displays the projects in which the logged user is defined as a responsible party or is part of the responsible team. However, if the SoftExpert Administration component is configured to grant a user full or specific control over records linked to a certain department, position, or another user, the projects related to these organizational structures will be displayed as well.

 

Project maintenance

The available operations will be described below:

Click on this button to edit the data of the project selected in the list of records. The information shown on the data screen may vary depending on the status of the selected project.
Click on this button to view the data screen of the project selected in the list of records. The information shown on the data screen may vary depending on the status of the selected project.
Click on this button to access the schedule of the project selected in the list of records.

Click on the arrow next to this button and choose whether you wish to configure and issue a report for the project or for the tasks of the selected project.

This button also allows for exporting the list with the records shown on the main screen to an Excel file, configuring a new report, associating an existing report, and viewing the parameters that can be used to configure new reports.

Click on this button to export the schedule of the project selected in the list of records.

Click on the desired option:

  • Approval: the system updates the route responsible for approving the selected project to the current configurations of the responsibility route record. This option must be used when the approval of the project is in progress and the responsibility route needs changes.
  • Evaluation: the system updates the evaluation control matrix of the selected project to the current configurations of the control matrix record. This option must be used when the evaluation of the project is in progress and the control matrix needs changes.
  • Finance: the system recalculates the total finances of the project.

It allows for reopening closed projects; consequently, they will be sent to the execution step again. On the screen that will open, explaining why the project has been reopened will be mandatory. Check the "Add new revision?" option so that a new revision is generated for the project that is being reopened (this action can also be performed manually later). Click on the "Confirm" button to reopen the project.
Subprojects can only be reopened if the main one is open.

A new cycle will be created if there is a closure route configured for the project.

Click on this button to unblock a project that is being edited through the schedule or that is blocked for another reason. Once this button is clicked, the project will be available for editing. If the project schedule has been opened by a user, and another one makes any changes, information edited by one of them may be lost.

With this feature, any necessary adjustments can be made quickly and securely, in accordance with defined access levels. This ensures greater flexibility in project management, in addition to keeping the database always up-to-date and aligned with organizational permissions.
