Executing a data collection via workflow
Prerequisites
- Active license for SoftExpert Workflow and SoftExpert Process.
- Access to the Management > Collection planning (SP003) menu or to the Management > Collection tracking (SP004) menu.
- Access to the Process (PM063) menu in SoftExpert Process.
- Previously created process, configured with automation via workflow
Introduction
The SPC data collection via workflow allows for monitoring a process. Thus, it is possible to automatically obtain the data of each workflow-generated instance.
Data that can be obtained:
- Execution time: records the time for the completion of a specific activity or the whole instance. In this case, the value can be in the format of seconds, minutes, or hours.
- Obtain form field data: fetches information entered in certain fields of the forms linked to the process activities.
- Obtain attribute data: fetches information entered in certain attributes linked to the process or process activities.
To obtain attribute data and form field data, it is necessary for the available fields to be of the Numeric type.

Configuring a process
1. Access the Process (PM063) menu.
2. Select a process configured with automation via Workflow.
3. Click on the  button.
 button.
4. Access the Characteristics section. If the process has been released, click on the Enable editing button before.
5. Select a characteristic of the variable type and click on the  button.
 button.
6. In the Application field, check the "SPC" option. If you wish to acquire this characteristic automatically, check the "Enable automation" option.
7. In the Origin field, select the "Process variables" option.
8. In the Value field, select the "Duration of process (in minutes)" option. Thus, whenever a new instance is generated, the system will calculate in minutes how much time it took for the instance to be closed. The value in minutes will be a new sample in the SPC collection.
8. Fill in the other required fields.
9. To finish, click on the  button.

10. Click on the Accept revision button.

Creating and executing a collection via workflow
1. Access the Management > Collection planning (SP003) menu or the Management > Collection tracking (SP004) menu.
2. Click on the  button.
 button.
3. In the Type of object to be collected field, select the Workflow option.
4. Select a process.
5. Click on the  button.
 button.

Conclusion
In this article, it was possible to understand what data can be obtained with a collection configured via workflow. For the execution of this collection type, simply start a workflow instance. When the instance is closed, a new sample will be generated in the SPC collection, displaying the instance execution time (1) and the instance that originated this reading value (2).
