Prerequisites
- Type of FMEA previously configured.
- Access the Management > FMEA (FM012) menu.
Presentation
FMEA (Failure Mode and Effects Analysis) is the primary record for failure mode analysis in the SoftExpert Suite. It gathers general information about the item, process, asset, or object being analyzed, including functions, requirements, failure modes, effects, causes, and recommended actions.
In the system, FMEA registration can occur in different ways depending on the version defined in the FMEA Type (4th Edition or AIAG & VDA). The editing steps also vary depending on whether or not revision control exists.
Register FMEA
1. Access the Management > FMEA (FM012) menu.
2. Use the arrow next to the button
and choose one of the options:
- New FMEA: creates a blank FMEA, following the registration flow according to the version configured in the type.
- New from family: Creates an FMEA based on an existing family, inheriting its information (available only for 4th Edition FMEAs).

3. Fill in the general information, including:
- FMEA No.: Include the FMEA identifier.
- Date: Include the start date of the analysis.
- Model Year(s)/Program(s): Include the model year(s) and program(s) that will be used in the FMEA analysis.
- Supplier: Include the supplier of the item/object/asset on which the FMEA will be performed.
- Responsible team: include the team responsible for monitoring the FMEA.
- Analysis: Include a description of the analysis that will be performed.
- Notes: Include general observations about the FMEA.
4. Fill in the specific fields according to the object:
- Design FMEA: I select the SoftExpert PDM item and its revision. If necessary, also select the client.
- Process FMEA: select the process and revision, then the linked item and its customer.
- Asset FMEA: select the asset and its review.
- Schedule FMEA: Select the project.
- Object FMEA: select the object and its revision.

5. Click Save to complete the registration.
- The FMEA number can be generated automatically according to the identification mask defined in the type.
- The Revision No. and Revision Date fields are automatically filled in as revisions are made.
- If the type has defined attributes, fill them in the Attribute section . Check more details by clicking here.
Edit FMEA data
After completing the registration and saving the FMEA for the first time, some fields become available for editing.
See how to edit FMEA data:
1. Access the Management > FMEA (FM012) menu.
2. Select the desired FMEA from the list and click the button
.
3. On the editing screen, review and update the FMEA General Data, such as identifier, title, description, and other information entered during registration.
4. If the FMEA type has Attributes, enter or revise the values presented in this section.
5. For FMEAs configured using the AIAG & VDA methodology, use the Function and Requirements options to include or adjust the elements that make up the item or process being analyzed.
6. Check the Results Documentation section, which displays information that is automatically filled in as the analysis progresses; review it as needed.
7. If the FMEA is configured with revision control, check the Revision tab, where you can track the current revision number and the related workflow.
8. Use the Structure button to assemble or adjust the analysis structure, including functions, failure modes, effects, causes, and controls. For Process FMEA, the system will open the specific wizard for that mode.
9. In the Documentation section, attach relevant files or link existing documents in SoftExpert Document, as needed for the analysis.
10. Access the FMEA Tree to view the hierarchical structure of the registered failure modes, effects, and causes, navigating through the elements as needed.
11. If the system is integrated with SoftExpert Action Plan, use the Action Plan tab to link a plan, track its status, check the percentage completed, and access related actions.
12. If the FMEA is associated with an APQP/PPAP record, the corresponding section will be automatically displayed for viewing the linked data.
13. After making all the desired changes, click Save to register the modifications.
Verify that you are part of the responsible team, as only these users can edit the record.
If the FMEA type has revision control, editing can only be done through the FMEA Review task . When there is no revision control, you can click Release version and proceed with the changes.
Conclusion
SoftExpert FMEA offers two complete registration methods, 4th Edition or AIAG & VDA, allowing each organization to adopt the methodology that best suits its needs.
The FMEA edition complements the registration and ensures that revisions, attachments, structure, and action plans are managed in an integrated manner.
Properly configuring and maintaining this data ensures that failure analysis is accurate, structured, and aligned with best practices in quality and prevention.
